JOB DESCRIPTION Account Coordinator
Location: Pasadena, TXPosition Summary:
Our client in the Pasadena, TX area is looking for an Account Coordinator to be a liaison between the market and all departments within the company
Essential Functions:
• Main Responsibilities
• Provide customers with daily customer service for all requests and needs.
• Serve as the main contact for customers and the outside sales team regarding sales order processing.
• Responsible for all sales order fulfillment, from quote creation to final invoice.
• Manage all customer inventory, including reporting and invoicing.
• This role is a vital part of the company's sales and supply chain process and includes the following essential duties and responsibilities:
• Customer Service:
• Communicate with customers by phone, in person, email, or text. Answer questions, place orders, and resolve issues.
• Manage a list of specific customers and assist other Account Coordinators as needed.
• Work in and maintain customer databases and invoice systems as needed.
• Enter new jobs into the company's ERP system.
• Be available to customers outside normal business hours if issues arise.
• Create and submit proposals (quotes) that meet customer criteria.
• Follow up on the status of proposals as needed.
• Create invoices, credits, acquisitions for all customer jobs.
• Place collection calls for overdue invoices when needed.
• Cross-train to help other Account Coordinators as needed.
• Other duties as assigned.
• Inventory Management:
• Create new item numbers in the ERP system.
• Maintain customer inventory in the ERP system; work with the warehouse for proper labeling and storage.
• Create inventory reports as requested.
• Review all stored inventory quarterly; ensure pricing is correct and submit for invoicing.
• Create purchase orders for goods from third-party vendors or company sites.
• Production Scheduling:
• Create Production and Lab Batch orders and related workbooks.
• Enter all required information for production and lab jobs; send for approvals.
• Maintain special requests related to jobs through linked notes (e.g., labels, metals, packaging, testing).
• Assist with maintaining and scheduling the production schedule and forecasting future sales.
• Attend all production scheduling meetings as required.
• Maintain department checklists.
• Coordinate shipments of customer waste with Environmental Manager, including paperwork and invoicing.
• Quality Assurance:
• Review and ensure accuracy of information provided by the customer.
• Review and send customer product reports.
• Send Customer Surveys after job completion; respond to feedback and report to management.
• Support the company's quality system by serving as an auditor and training others as needed.
• Logistics:
• Coordinate with logistics teams, customer logistics departments, and freight companies for shipping and receiving.
• Work with Customs Brokers for overseas shipments; handle scheduling and required documentation.
• Request quotes from freight forwarders as needed; invoice customers when appropriate.
• Provide shipping documents and ensure the warehouse is aware of special handling instructions.
• Create receiving purchase orders for incoming customer material.
Qualifications:
• Ability to interact with all levels of employees.
• Proficiency in Microsoft Word and Excel; experience with ERP systems.
• Experience in purchasing, planning, or inventory management is preferred but not required.
• Team player with a good attitude and willingness to learn.
• Strong attention to detail.
• Professional demeanor.
• High school diploma or GED required; Bachelor's degree preferred.
• 2 3 years of experience in customer service in a manufacturing environment.
