Position Summary:
The Accountant/Assistant Office Administrator is a key member of the management team. The ideal candidate will be able to leverage their experience and business acumen to provide leadership and hands-on oversight of the day-to-day accounting and office administration responsibilities for a local civil engineering firm. In this role, you will play a pivotal role in payroll and benefit coordination, month-end closing, quarterly and year-end reporting, minor facilities maintenance and oversee a growing fleet of commercial vehicles.The position requires close attention to detail.
Duties/Responsibilities:
·Ensure transactions are accurately entered into accounting systems in a timely and efficient manner. Ensure data integrity and compliance with Generally Accepted Accounting Procedures (GAAP).
·In coordination with the Controller, prepare periodic reconciliations of cash, investment, client, vendor and general ledger accounts as part of the month-end closing process. Perform thorough account variance analysis and communicate issues and resolutions to management in a timely, professional manner.
·In coordination with the Controller, assist with the preparation of monthly Balance Sheet, P&L statement, Cash Flow forecasts, and budget variance analysis.
·In coordination with the Controller, ensure timely and accurate filing of the applicable federal and state tax returns.
·Provide back-up for weekly processing of AR, AP, and bi-weekly payroll. Ensure compliance with applicable laws and regulations.
·Organize and compile requested information for various independent auditors, including insurance auditors and certifying agencies. Assemble and upload documents to a number of online portals.
·Oversee the maintenance and monitoring of a growing fleet of commercial vehicles and coordinate minor repairs to facilities.
·In coordination with management, build and strengthen relationships with internal and external stakeholders.
·Work to improve financial processes. Develop process documentation for all areas of responsibility and update regularly.
·Protect the organization’s value by keeping information confidential.
·Perform other ad hoc tasks and duties as assigned.
Requirements/Preferred Qualifications:
·B.S. or B.A. in Accounting and/or Finance is preferred.
·3-5 years related experience or equivalent combination of education and experience is preferred.
·A thorough knowledge of Generally Accepted Accounting Principles (GAAP) is required.
·Well organized and self-directed with excellent analytical and problem-solving skills.
·A general knowledge of wage and hour laws and construction/cost accounting a plus.
·Proficient in MS Office applications (Word, Excel, Outlook) and computerized accounting software, specifically Deltek Ajera and QuickBooks.
·Ability to independently complete multiple time-sensitive tasks, manage priorities and work in a fast-paced environment.
·Ability to write reports, business correspondence, and procedure manuals a plus.
·Exceptional communication and interpersonal skills.
