Joignez-vous à notre équipe en tant qu'adjoint(e) administratif (ve)principal(e) en recherche clinique. Ce poste relève du Directeur Exécutif de la recherche clinique et offre l'occasion de contribuer à un milieu de travail efficace et organisé tout en offrant un soutien général à l'équipe. Les fonctions principales du titulaire du poste incluent, entre autres, les suivantes :

  • Apporter un soutien administratif gĂ©nĂ©ral selon les besoins.
  • Coordonner et rĂ©aliser plusieurs tâches tout en comprenant les principes de chaque projet et les compĂ©tences techniques liĂ©es aux tâches qui lui sont attribuĂ©es.
  • RĂ©aliser ou achever diffĂ©rentes tâches qui lui sont attribuĂ©es et nĂ©cessitent une capacitĂ© d'analyse approfondie, un jugement autonome, de la crĂ©ativitĂ© et des compĂ©tences en rĂ©solution de problèmes.
  • Colliger et analyser des renseignements confidentiels, prĂ©parer des rapports, des prĂ©sentations, des ordres du jour et de la correspondance de degrĂ©s de complexitĂ© divers.
  • Concevoir des rapports, des prĂ©sentations, des tableaux, des graphiques et des Ă©lĂ©ments de correspondance et faire des recherches prĂ©liminaires en utilisant les logiciels appropriĂ©s.
  • Coordonner des projets spĂ©ciaux.
  • GĂ©rer le processus de paiement des fournisseurs, notamment les bons de commande, rĂ©conciliation des demandes d'achat, le traitement des factures et le suivi des questions connexes.
  • Assurer la gestion des cartes de crĂ©dit d'entreprise (p-Card et cartes pour les rĂ©unions) et le traitement des rapports de dĂ©penses connexes.
  • Tenir Ă  jour le calendrier et l'horaire quotidien du directeur administratif, organiser les rĂ©unions et prendre les dispositions nĂ©cessaires pour les dĂ©placements.
  • Interagir avec des membres de la haute direction, tant Ă  l'interne qu'Ă  l'externe, que ce soit Ă  l'Ă©chelle locale ou mondiale.
  • Aider le directeur administratif dans le suivi des budgets et des rapports de cumul annuel, ainsi que la prĂ©paration des comptes de rĂ©gularisation si nĂ©cessaire. Ouvrir des bons de commande, s'assurer de l'exactitude des factures reçues et mettre Ă  jour les soldes des bons de commande en temps opportun et de façon prĂ©cise.
  • Organiser les rĂ©unions du service et les visites Ă  l'Ă©tranger au besoin (notamment en coordonnant la logistique des dĂ©placements).
  • Tenir Ă  jour la base de donnĂ©es des absences et des congĂ©s.
  • L'adjoint(e) administratif(ve) principal(e) doit connaĂ®tre parfaitement toutes les politiques de notre compagnie, notamment le Code de conduite de notre compagnie, " Nos valeurs et normes ", et s'y conformer.

  • DiplĂ´me d'Ă©tudes collĂ©giale en bureautique ou l'Ă©quivalent
  • Plus de cinq annĂ©es d'expĂ©rience pertinente

Senior Administrative Assistant, Clinical Research

Join our team as a Senior Administrative Assistant in Clinical Research. This position reports to the Executive Director, Clinical Research and offers an opportunity to contribute to an efficient, organized workplace while providing general support to the team. Responsibilities but not limited to:

  • Provides general administrative support, as needed.
  • Coordinates and performs multiple tasks while understanding the project principles and technical skills related to own work assignments.
  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity, and problem-solving skills.
  • Assembles and analyzes confidential information, prepares reports/ presentations, agendas, and correspondence of varying degrees of complexity.
  • Develops reports, presentations, tables, graphs, correspondence, and conducts light research using appropriate software.
  • Coordinates special projects.
  • Manages the supplier payment process, including purchase orders, purchase requisition reconciliation, invoice processing, and follow-up of related issues.
  • Manages Corporate credit cards (p-Card and meeting card) and processes related expense reports.
  • Maintains the Executive Directors' calendars and daily schedule, organizes meetings, and makes travel arrangements.
  • Interacts with senior-level individuals both within and outside of the Company, locally and globally.
  • Assists the Executive Director in tracking budgets, YTD reports, preparing accruals, as required. Opens purchase orders and ensures accuracy of invoices received and updates purchase order balances in a timely and accurate manner.
  • Organizes departmental meetings and international visits as needed (including coordination of travel arrangement logistics).
  • Maintains the database on absenteeism and vacation.
  • Responsible to demonstrate full knowledge of and compliance with all our company's policies, including, but not limited to, our Company's Code of Conduct, "Our Values and Standards".

Qualifications, Skills & Experience

Required

  • Completed College degree in Office Technology or its equivalent.
  • More than five years of relevant experience.
  • Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) is essential.
  • Knowledge of SAP/COMET.
  • Language: Bilingual (French and English), written and oral.
  • Professional communication skills in a remote/virtual and in-person environments.
  • Able to work in a fast-paced environment with requests from multiple stakeholders with a range of people and understanding of cultural differences.
  • Resourceful and autonomous.
  • Excellent organizational and administrative skills to manage various office and location support activities.
  • Strong ability to identify, enhance, and follow specific processes and procedures.
  • Proven experience in maximizing the efficiencies of a business or organization.
  • Proficiency in ensuring the correct functioning of facilities, office, and business support services.
  • Strong problem-solving skills to identify and address issues in facilities and business support services.

Preferred

  • Experience processing Corporate Credit Cards.
  • SAP experience: Expense Reports, Purchase Orders and Payment Requests, Vendor Add Forms.
