Job Description
JOB DESCRIPTION
The Administrative Assistant provides administrative support to the central finance team, primarily supporting the global Internal Audit (βIAβ) and Investor Relations (βIRβ) functions. In addition, provides administrative support to the global tax and central controlling teams.Β
Administrative Assistant responsibilities include, but are not limited to:
- 
Arranging travel, obtaining travel Visas (for global team), expense reporting, scheduling appointments, coordinating meetings and events 
- 
Recording meeting minutes 
- 
Assisting with the onboarding of new employees globally 
- 
Preparing purchase requisitions/SOWs/requesting POs/MSAs, accounts payable invoicing for vendors 
- 
Preparing and issuing IA Reports, maintaining KPIs for IA department, preparing presentation materials for IA, and other general office administration.Β 
- 
Coordinate and support all Investor Relations events (conferences, onsite visits, earnings reporting, and one-on-one IR calls). Maintain detailed IR calendar.Β 
- 
Develop communications with analysts and investors around IR events. Coordinate with CEO/CFO staff on C-suite involvement in IR events. 
The Administrative Assistant is responsible for working with confidential and sensitive information.

Demonstrated ability to pull together professional presentations and other documents rapidly.

Excellent writing and proofreading skills. 
- 
Proven ability to multi-task and work well under pressure and deadlines. 
- 
Highly proficient and professional in dealing with and coordinating events with all levels of the organization. 
- 
Experience in working and communicating with employees, leaders and customers. 
- 
Proven organizational skills and ability to effectively manage calendars, international travel itineraries and phone calls. 
- 
Technically competent in operating all types of office equipment (i.e., printers, copiers, phones, fax machines, teleconferencing equipment, etc.) 
- 
Proficient in MS Word, Excel, PPT and Outlook 
- 
Ability to travel (locally) as needed. 
- 
Demonstrated ability to work independently and follow through on assignments with excellent attention to detail. 
- 
Proven ability to handle sensitive information confidentially. 
- 
Integrity, accountability and high ethical standards. 
QUALIFICATIONS
- 
Three or more years of administrative experience, preferably in a large, global enterprise. 
- 
Valid driverβs license and transportation.
