In this highly visible role, the AP & Travel & Expense Accountant will assist the Accounting Senior Manager & the VP of Accounting with overseeing Accounts Payable, Corporate Credit Card Transactions, and Employee Travel
What you’ll do:
- Daily processing of expense reports and vendor invoices
- Maintain and/or synch (Airbase) expense exports into the ERP system daily
- Reconcile AP subledger to the general ledger. Review AP aging
- Input invoices into AP software and ensure proper coding and approval routing
- Ensure W9s are collected from vendors and payments are processed in a timely
manner - Answer emails from the expense email inbox daily
- Set up and maintenance of credit card program in coordination with HR and Accounting
- Manage company card application process
- Liaison for the credit card provider
- Training for cardholders
- Communication with employees regarding card issuance and expense reports
- Develop reporting analytics for expenses
- Administer Airbase (T&E Software) and Routable (AP Software) and ensure proper syncing
with accounting software- Set up of Airbase environment (eg. cost centers, GL accounts, and approval routings)
- Verify general ledger postings in ERP
- Manage interfaces
- Provide training for new employees
- Create monthly accrual based on corporate card charges that have not yet been recorded to
the GL - Prepare and send communications regarding non-compliance with T&E policies
- Answer employee questions related to expense reports and T&E policies
- Liaison between employees and Travel Partners
- Support audit requests and inquiries
- Airbase maintenance as needed
What you have:
- Strong organizational skills
- Experience with Airbase and/or Routable is a plus
- Intermediate knowledge of Excel
- Handling of sensitive and/or confidential information
- Strong problem-solving skills
- Understanding of Accounting / Accounts Payable
- Financial/Business analysis experience – gathering data and performing analysis
- 3-5 years of AP & T&E experience
