Assistant Project Manager - Jacksonville

JOB SUMMARY: Assistant Project Manager for Multi-Family New Construction is responsible for assisting the Project Manager and General Superintendent in overseeing the planning, coordination, and execution of the assigned construction projects; ensuring they are completed on time; within budget; and to the required quality standards through the entire project life cycle. The role involves a variety of tasks including coordinating with subcontractors; managing schedules; assisting with material procurement; ensuring site safety; data management; and communication with all stakeholders internally and externally. Essential Job Functions: · Assist with pre-construction tasks, project start up, and project management. · Help review drawings; and manage initial project start up tasks. · Participate in creating and updating project schedules, ensuring alignment with project milestones. · Maintain project files, logs, and records including: Plans, Specs, RFIs, Submittals, and Change Orders. · Assist with tracking costs, budgets, material procurement, and subcontractor buyout. · Assist with monthly draw packages and owner change orders. · Assist with writing subcontractor scopes of work and schedule of values. · Help coordinate subcontractors; ensure they have the information to complete their scope of work. · Assist with project reporting; schedule progress; and budgetary tracking. · Perform administrative duties; schedule meetings; and record meeting minutes. · Help coordinate project from inception to completion; problem solve issues and find solutions. · Organize, file, and maintain all current project documents in construction management software. · Assist in ensuring compliance with necessary construction documents and specifications. · Schedule and confirm deliveries for field staff; maintain inventory control and process delivery tickets. · Assist with gathering information from engineers, architects, and design team as required. · Assist with estimating, bidding, and negotiating buyout for scopes of work. · Prepare change orders, requests for information (RFIs), and submittal packages. · Coordination of specifications; color selections; and design boards. · Maintain current project files, plans, specifications, and permits. · Participates in activities related to project closeout, preparing punch lists and documentation. · Coordinates with cross-functional teams to ensure all aspects of the project are aligned. · Tracks project deliverables using appropriate tools and techniques. · Ensures project outputs meet quality standards set. · Identifies any potential quality issues and provide solutions. · Facilitate team meetings and distribute regular updates to stakeholders. · Tracks and reports project costs to ensure completion on or under budget. · Assist in reviewing subcontractor contracts and invoices. · Sustain positive vendor, subcontractor, and client relationships. · Facilitate communication between office and field staff. · Adheres to local, state, and federal laws and regulations. · Adheres to company policies and procedures. · Follows safety rules and reports incidents to supervisor. · Operates with the highest level of conduct, integrity, and confidentiality. · Performs other duties as assigned. Skills & Abilities: · Must be flexible and adaptable, as construction projects often involve change and unexpected issues. · Strong understanding of project management principles and methodologies. · Excellent written and verbal communication skills. · Ability to manage multiple tasks and maintain accurate records. · Ability to identify issues and develop solutions. · Basic understanding of construction processes and terminology. · Organized with a strong sense of priority and commitment to meet deadlines. · Proficient in Microsoft Office suite or similar programs. Education & Certifications: · Bachelor’s degree in related field preferred. · Valid driver license and a clean driving record. Travel may be required for client meetings or site visits. · Possession of relevant licenses and certifications, as required by local or state regulations. · PMP (Project Management Professional) certification is a plus. Experience: · Two years of project management experience in similar industry preferred. Physical Requirements: · Prolonged periods sitting at a desk and working on a computer. · Must be able to lift up to 25 pounds at times and walk on uneven surfaces in unfinished spaces. · Prolong periods standing, bending, pulling, pushing may be required.
