JOB SUMMARY: Assistant Project Manager for Multi-Family New Construction is responsible for assisting the Project Manager and General Superintendent in overseeing the planning, coordination, and execution of the assigned construction projects; ensuring they are completed on time; within budget; and to the required quality standards through the entire project life cycle. The role involves a variety of tasks including coordinating with subcontractors; managing schedules; assisting with material procurement; ensuring site safety; data management; and communication with all stakeholders internally and externally. Supervisory Responsibilities: ยท No Supervisory Responsibilities. Essential Job Functions: ยท Assist with pre-construction tasks, project start up, and project management. ยท Help review drawings; and manage initial project start up tasks. ยท Participate in creating and updating project schedules, ensuring alignment with project milestones. ยท Maintain project files, logs, and records including: Plans, Specs, RFIs, Submittals, and Change Orders. ยท Assist with tracking costs, budgets, material procurement, and subcontractor buyout. ยท Assist with monthly draw packages and owner change orders. ยท Assist with writing subcontractor scopes of work and schedule of values. ยท Help coordinate subcontractors; ensure they have the information to complete their scope of work. ยท Assist with project reporting; schedule progress; and budgetary tracking. ยท Perform administrative duties; schedule meetings; and record meeting minutes. ยท Help coordinate project from inception to completion; problem solve issues and find solutions. ยท Organize, file, and maintain all current project documents in construction management software. ยท Assist in ensuring compliance with necessary construction documents and specifications. ยท Schedule and confirm deliveries for field staff; maintain inventory control and process delivery tickets. ยท Assist with gathering information from engineers, architects, and design team as required. ยท Assist with estimating, bidding, and negotiating buyout for scopes of work. ยท Prepare change orders, requests for information (RFIs), and submittal packages. ยท Coordination of specifications; color selections; and design boards. ยท Maintain current project files, plans, specifications, and permits. ยท Participates in activities related to project closeout, preparing punch lists and documentation. ยท Coordinates with cross-functional teams to ensure all aspects of the project are aligned. ยท Tracks project deliverables using appropriate tools and techniques. ยท Ensures project outputs meet quality standards set. ยท Identifies any potential quality issues and provide solutions. ยท Facilitate team meetings and distribute regular updates to stakeholders. ยท Tracks and reports project costs to ensure completion on or under budget. ยท Assist in reviewing subcontractor contracts and invoices. ยท Sustain positive vendor, subcontractor, and client relationships. ยท Facilitate communication between office and field staff. ยท Adheres to local, state, and federal laws and regulations. ยท Adheres to company policies and procedures. ยท Follows safety rules and reports incidents to supervisor. ยท Operates with the highest level of conduct, integrity, and confidentiality. ยท Performs other duties as assigned. Skills & Abilities: ยท Must be flexible and adaptable, as construction projects often involve change and unexpected issues. ยท Strong understanding of project management principles and methodologies. ยท Excellent written and verbal communication skills. ยท Ability to manage multiple tasks and maintain accurate records. ยท Ability to identify issues and develop solutions. ยท Basic understanding of construction processes and terminology. ยท Organized with a strong sense of priority and commitment to meet deadlines. ยท Proficient in Microsoft Office suite or similar programs. Education & Certifications: ยท Bachelorโ€™s degree in related field preferred. ยท Valid driver license and a clean driving record. Travel may be required for client meetings or site visits. ยท Possession of relevant licenses and certifications, as required by local or state regulations. ยท PMP (Project Management Professional) certification is a plus. Experience: ยท Two years of project management experience in similar industry preferred. Physical Requirements: ยท Prolonged periods sitting at a desk and working on a computer. ยท Must be able to lift up to 25 pounds at times and walk on uneven surfaces in unfinished spaces. ยท Prolong periods standing, bending, pulling, pushing may be required.
