POSITION ANNOUNCEMENT: Billing & Revenue Accountant The Billing & Revenue Accountant is responsible for managing all aspects of student billing and collections through the FACTS tuition management system, and for accurately recording all revenue streams, including tuition, fees, and fundraising contributions. The successful candidate will possess strong analytical and organizational skills, be highly deadline oriented, proficient in general ledger work, and have the ability to communicate effectively with all constituents within the School, including parents, school leadership, and peers. RESPONSIBILITIES Student Billing and Tuition Management (FACTS): • Maintain and manage the FACTS tuition management system, including account creation, invoice generation, and payment processing. • Collaborate with Admissions and Enrollment to onboard new families and set up billing schedules. • Reconcile FACTS activity with the general ledger on a monthly basis. • Monitor outstanding balances and manage collection processes. • Process adjustments for financial aid, credits, fees, and other changes in tuition. • Collaborate closely with auxiliary programs to ensure proper budgeting, invoicing and communication for trips, afterschool programming, food service, and other auxiliary programs. • Respond to family inquiries regarding billing, tuition plans, and payment methods with professionalism and discretion. Financial Aid & Discounts: • Coordinate with Financial Aid and Admissions to ensure accurate application of financial aid awards in FACTS. • Monitor tuition remissions, scholarships, and discounts, and ensure proper application and accounting. Revenue Accounting and Reporting: • Record all revenue from tuition, fees, and other school-related income into the accounting system (Blackbaud) in accordance with GAAP. • Track, reconcile, and record fundraising and donation revenue in collaboration with the Advancement Office. • Reconcile development gift reports to general ledger and ensure proper designation and fund coding. • Prepare and maintain schedules of accounts receivable and deferred revenue, including pledge schedules. • Support the monthly close process by preparing journal entries and revenue-related reports. Audit & Compliance: • Assist with the annual financial audit by preparing requested schedules and documentation related to tuition, fees, and donations. • Maintain documentation for internal controls and audit trails for all student billing and fundraising revenue transactions. PERSONAL AND PROFESSIONAL REQUIREMENTS • Bachelor’s degree in Accounting, Finance, or a related field required. • 3+ years of relevant accounting experience with strong knowledge of accounting principles and revenue recognition. Experience in a school or nonprofit environment preferred. • Proficiency with FACTS Tuition Management System strongly preferred. • Experience with accounting software; proficiency with Blackbaud strongly preferred. • Excellent attention to detail, organization, and time management skills. • Strong interpersonal and communication skills, with the ability to work effectively with families and colleagues. • Ability to manage sensitive and confidential information with discretion. COMPENSATION This is a full time exempt administrative position with a competitive compensation package including benefits. Annualized salary range of $ 65,000-$75,000 commensurate with education and experience.
