OpportunityÂ
We are seeking a highly organized and proactive Booking Coordinator to be responsible for booking and coordinating large churches and venues across the country. In addition to booking coordination, this role will also involve scheduling and coordinating the Event Team’s onsite visits with potential churches, optimizing their efficiency and effectiveness.Â
Responsibilities include but are not limited to:Â
Venue Sourcing:Â

Identify and research large churches and faith-based venues that align with our event requirements.Â

Maintain a database of potential venues, including details of capacity, facilities, availability and contact information.Â

Create and maintain relationships with potential venues across the countryÂ
Negotiation and Contracts:
-
Negotiate rental terms, rates with churches to secure favorable arrangements.Â

Draft and manage contracts, ensuring they meet the needs and expectations of both parties.Â
 Logistics Coordination:Â

Collaborate with internal teams to coordinate logistics for events hosted at churches.Â

Ensure that venue requirements, including seating, audio-visual equipment, and catering, are met.Â

Communicate with other departments to determine best markets, date availability, and options for eventsÂ
Schedule Management:Â
-
Develop and manage event schedules and booking calendars, ensuring efficient utilization of church venues.Â

Coordinate with churches to avoid scheduling conflicts and optimize venue availability.Â
Venue Procurement Manager Support:Â
-
Schedule and coordinate meetings, site visits, and other tasks related to venue acquisition.Â

Assist in optimizing the Event Team’s schedule for maximum productivity.Â
Budget Oversight:Â

Assist with managing the budget for venue rentals and negotiate cost-effective agreements.Â

Monitor expenses and ensure financial compliance with the venue arrangements.Â
Qualifications:Â
Education:Â
-
Bachelor’s degree in business, Event Management, or a related field is preferred.Â
Experience:Â
-
Minimum of 2 years of experience in event management, venue coordination, or sales, with a proven track record of securing and managing venues.Â
Organization:Â
-
Exceptional organizational and time management skills to coordinate multiple events and venues.Â
Communication:Â
-
Excellent verbal and written communication skills for effective outreach, presentations, and contract drafting.Â
Detail-Oriented:Â
-
A keen attention to detail to ensure that event logistics and contracts meet the specified requirements.Â
Flexibility:Â
- Adaptability to handle changing event schedules and potential issues during the booking process
