Position Overview
Assists in the daily operations of the front desk and in coordinating lifelong learning and wellness programming. Duties include processing course registrations, selling memberships, and booking appointments in Active Net database; professional communication with providers and teachers; two-way communication with participants for information and referrals, setting up and maintaining classes, events, and services in Active Net database; entering data for reporting purposes into Active Net database; and maintaining a welcoming environment in a social service organization dedicated to senior citizens and their families. This is a 40-hour per week, non-exempt position. Work hours are 8am to 4:30pm, Monday through Friday. Occasional evening and weekend hours.
Essential Job Functions
• · Accurately register participants in Active Net database for classes, appointments, memberships, workshops, lectures, and special events.
• Maintain relationships with wellness providers, assistance counselors, volunteers, and instructors.
• Assist in implementing lectures and workshops.
• Assist in promoting lectures, workshops, wellness services, and classes through various channels, including in-person promotion, social media, and the creation of promotional materials like flyers, videos, and brochures in both traditional Chinese and English.
• Set up, maintain, and generate necessary Active Net reports.
• Maintain/ co-host classes, events, and services in the database quarterly and as needed.
• Input data in Active Net and other databases.
• Calendaring and promotion of daily events and activities.
• Delivery of customer support to seniors visiting Avenidas registration site.
• Provide and deliver information and referrals in person, via email, and by phone.
• Stay abreast of current information on all programs within agency.
• Set up and reconcile cash register using cash, credit cards, and checks.
• Maintain a friendly, welcoming environment for participants, co-workers, volunteers, and visitors.
• Coordination of on-site and/ or virtual classes and events, which may include setting up and managing online/Zoom classes and workshops, including creating Zoom meetings/classes, setting up email reminders/notifications for participants, working with instructors and presenters, managing online classes in real time; setting up facility rooms for classes, workshops, and other events including tables, chairs, fitness equipment, AV equipment and refreshments; clean-up.
• Maintain lobby with reading materials.

Qualifications
Education and experience:
• · Two years of college or equivalent experience in customer service and/or recreation planning.
• Experience working with seniors essential.
• · Computer assisted program registration experience (Active Net database), hosting Zoom meetings/webinars and/or point of sale systems preferred.
• · Experience with reception, hospitality, Parks & Rec, wellness &/or information agencies sought.
Skills and Abilities:
• ·Outstanding representation of the agency and customer service excellence is job #1.
• Ability to maintain a friendly, positive front desk atmosphere at all times and ability to work with diverse groups. Flexible team player with ability to multi-task with continual interruptions.
• Strong communication skills with both internal and external customers, wellness providers, teachers, and community programming partners.
• High level of accuracy with calendaring activities, scheduling appointments, and database entry.
• Ability to suggest creative programming for the benefit of a diverse senior population.
• Microsoft Office, Zoom, desktop publishing, and multi-phone line savvy.
• Previous work with older adult populations in social services, healthcare or recreational settings highly valued.
• Ability to provide assistance in a culturally sensitive and respectful manner.
• This role requires substantive interaction with participants and a high level of tact and judgment.
• Ability to sit or stand for extended periods of time.
• · Ability to lift 15 pounds and move chairs/tables/etc.
• · Able to work flexible hours, including the occasional evening and weekend.
• · A valid California driver’s license with clean driving record.
We require an open-minded and accepting individual with a strong willingness to learn about cultural differences. The ability to thrive in a trilingual environment (Mandarin and or Cantonese, and English) is essential. While not required, prior experience in a culturally diverse setting is a plus.
Physical Demands
• Frequent stand/walk, sit, use a computer; use a telephone, grasp lightly/fine manipulation.
• Occasionally reach/work above shoulders, twist/bend/stoop/squat, grasp forcefully, lift/carry/push/pull objects that weigh up to 15 pounds, write by hand, sort/file paperwork.
Hours and Compensation
This is a full-time non-exempt, (M-F) 40-hour per week position. Benefits include competitive salary; medical, dental, vision, 403B grant offered; paid vacation sick leave holidays and more. Salary range is $25.00 - $27.00 per hour
