Our focus is on providing exceptional nursing services with discretion, compassion, and reliability. We are seeking aClient Services & Administrative Assistantto support our growing practice by managing day-to-day operations, client communications, and nurse scheduling.
Key Responsibilities
• Serve as the first point of contact for client inquiries (phone/email).
• Manage nurse scheduling: coordinate shifts, handle cancellations, and ensure coverage.
• Assist with onboarding of new clients and new nursing staff.
• Maintain confidential records, contracts, and compliance documentation.
• Provide administrative support: calendar management, data entry, invoicing support.
• Support basic marketing tasks: social media updates, referral follow-ups, light CRM upkeep.
• Handle ad-hoc personal assistant tasks related to the business (errands, office organization, vendor coordination).
Qualifications
• Prior experience as a personal assistant, administrative assistant, scheduler, or client services coordinator.
• Strong organizational and multitasking skills; calm under pressure.
• Excellent written and verbal communication.
• Professional discretion and commitment to confidentiality (HIPAA awareness a plus).
• Tech-savvy: comfortable with Google Workspace, scheduling tools, and task/project management apps.
• Flexible, dependable, and able to adapt to changing priorities.
• Experience in healthcare, staffing, or concierge/luxury services strongly preferred.
Schedule & Compensation
• Location:Primarily remote with occasional in-person tasks in Austin.
• Hours:20–30 hours/week to start, with potential to grow to full-time.
• Compensation:$20–28/hour, depending on experience.
• Opportunity for long-term growth as the business expands.
