Position Summary:Â
We are seeking a Communications and Public Affairs Project Manager to join the Communications and Public Affairs team at Flagship Pioneering helping coordinate and manage projects and events and to support team operations and priority initiatives. The successful candidate will be a super organized, detail-oriented, proactive problem solver, able to work independently across multiple projects simultaneously. This individual will play a critical role in a dynamic team executing exciting and fast paced work. This position is full-time and based in Cambridge, Massachusetts reporting to the Senior Director, Communications and Public Affairs and the Head of Events and Brand Experience.Â
Responsibilities:Â
- Manage multiple tools, systems, and platforms for file organization and storage for the team including our digital asset management system and other databasesÂ
- Manage and coordinate ongoing team-led activities like employee headshots, video production, and staff events Â
- Organize schedule of internal team meetings, manage preparation of agenda, and capture of notes and next stepsÂ
- Work closely with the Head of Events to support the planning and execution of select events, owning key aspects of various events from start to finishÂ
- Support multiple events and creative content projects simultaneously with creativity and close attention to detailÂ
- Manage shared team calendar ensuring it is up to dateÂ
- Support team operations and management including but not limited to production of reports and readouts including monthly team reporting Â
- Conduct research and analysis to inform various projects and internal decision-making Â
- Coordinate production of meeting materials, presentations, and various ad hoc projectsÂ
- Support weekly development of the Media Monitoring Report tracking news stories about Flagship and our companiesÂ
- Assist with processing of invoices and expensesÂ
- Book and coordinate travel and accommodation as needed for CPA team and in support of event coordination and executionÂ
- Liaise with other Flagship operations units around shared priorities as neededÂ
- Support for special projectsÂ
Qualifications:Â
- Bachelor’s degree requiredÂ
- 3+ years successful administrative, coordination, and/or project management experience in a fast-paced corporate environmentÂ
- Critical thinking with keen attention to detail, organized and able to seamlessly multitaskÂ
- Effective time management, organization, and prioritization skills in managing multiple projects with proven ability to meet tight deadlinesÂ
- A "roll-up-your-sleeves" entrepreneurial attitude taking initiative to accomplish short and long-range projectsÂ
- Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel) and strong facility with PowerPoint strongly preferredÂ
- Proven experience in event planning or event coordination in a corporate environmentÂ
- Excellent communication skills including strong writing skills, an attention to detail, and ability to effectively multi-task with a willingness to perform a wide range of tasksÂ
- Comfortable interacting with colleagues at all levels demonstrating tact and discretionÂ
- Comfort with and willingness to learn new software and platforms as neededÂ
- Ability to handle competing and/or tight deadlinesÂ
- Interest in learning new content areas and ability to quickly engage with new concepts and ideasÂ
- Interest in Flagship’s mission and areas of workÂ
- Consummate team player, with excellent judgment and the ability to work well with a distributed team and independently Â
