Position Summary This is a very high-profile position in the Perioperative Services Department that requires interfacing with all areas of hospital operations, other institutions, and the general public. An individual must be able to conduct a smooth and efficient operation while managing multiple responsibilities. Individual must exhibit exemplary behavior and performance at all times in order to provide the credibility required for UI Health. Position entails a high degree of visibility and role modeling. This position will help check in patients, assist family members, perform data entry, run basic reports, and perform other duties as needed. Duties & Responsibilities • Patient Experience • Greets patients, staff, and assists as needed. Uses unit communications to foster the work of the unit. • Answers telephone at or before third ring (states: unit title, and name) • Screens and routes incoming calls to appropriate parties (using telephone paging system if necessary); relays general information and information concerning patient, unit or division. • Takes messages for unit personnel and routes to appropriate parties. • Recognizes the needs, behavioral attributes, and physical characteristics of a variety of customer groups served. • Respect the confidentiality of hospital medical records and other patient related information. • Conducts assessment of customer service needs and makes arrangements to ensure needs are met. • Assists with orientation and ongoing training of staff in customer service • Responds to complex complaints received at the departmental level and routes them appropriately. • Conducts primary research of complaints received. • Produces/formats correspondence for follow-through/tracking of complaints received. • Greets, assists and directs patients, visitors, and staff. • Conducts assessment of customer service needs and make arrangements to ensure needs are met. • Collect, process and reconcile patient payment • Information Services • Enters check-ins, discharges, transfers, patient charges and expirations into Epic. • Collects and verifies preliminary customer information in order to expedite delivery of services. • Operates information services as required. • Operates tubing system to retrieve and/or deliver information and or materials from one Unit within the Hospital to another. • Retrieve other information as requested. • Consults with related departments in order to coordinate efficient and expedient access to services. • Verifies, inputs, retrieves and/or reconciles data (e.g. registration, insurance, charges, etc.) using automated systems. • Runs basic reports to verify/reconcile data • Operations • Contacts OR Charge Nurse or Circulating Nurse every two hours to find out the status of patients in surgery and communicate this information to patients, families or visitors in collaboration with Nurse Consultant. • Initiates, assembles, disassembles, and maintains medical records daily ensuring order, completeness, accuracy, and replenishing forms as needed. • Communicates with nurse when checking and compiling patient medical records to ensure order, accuracy and completion. • Assists with unit Quality Assurance and Improvement activities. • Assists with patient admission, transfers, and discharge. Completes and routes required forms and communicates necessary information to the patient and/or family an admission, transfer, and discharge. Assist with assuring bed/room readiness for all admissions or transfers to the unit. • Types letters, memos, and other correspondence as required. • Participates in department patient satisfaction teams. • Inventory and order supplies • Perform other related duties and participate in special projects as assigned. Minimum Qualifications • High school diploma or equivalent. • Any one or combination totaling three (3) years (36 months) from the following categories: • college coursework in business administration, communications, public relations or a closely related field as measured by the following conversion table or its proportional equivalent: • 30 semester hours equals one (1) year (12 months) • Associate’s Degree (60 semester hours) equals eighteen months (18 months) • 90 semester hours equals two (2) years (24 months) • Bachelor’s degree (120 semester hours) equals three (3) years (36 months) • responsible work experience in customer services, public relations, office administration, business and financial operations, healthcare administration or other closely related experience Preferred Qualifications • Knowledge of medical terminology preferred • Bilingual (English/Spanish) preferred To Apply:For fullest consideration click on theApply Nowbutton, please fully complete all sections of the online application including adding your full work history with specific details of your duties & responsibilities for each position held.
