Description Definition Under general direction, performs analytical duties in support of the ongoing development and enhancement of Enterprise Resource Planning (ERP) applications as well as other specialized departmental computer software, and peripheral equipment; collaborates with department management and functional users to identify opportunities to improve business process automation; recommends system and equipment changes for increased efficiency and effectiveness; coordinates with information technology services (ITS) staff regarding desired enhancements, modifications, and upgrades to systems and applications; and performs other related duties as assigned. Supervision Works under the direct supervision of a department manager. Does not directly or indirectly supervise other employees but may provide work direction to lower-level employees, temporary employees, and/or student workers.Work ScheduleMonday-Friday 8:30am-5:00pm, 40 hours per week, 12 months per year TheData Operations Analystposition will work in theFinancial Aiddepartment and reports to the Director, Student Financial Aid. It is responsible for providing, developing and maintaining expertise in relational databases in integrated systems troubleshooting and researching problems related to financial aid and student information systems. TheData Operations Analystposition will work in theStudent Servicesdepartment and reports to the Dean, Student Services. It is responsible for providing, developing, and maintaining expertise in relational databases in integrated systems, trouble shooting and researching problems related to academic counseling, the academic advising module of the college's student information system, as well as software and databases related to student services, counseling, and other student scheduling, appointment, and related activity. Examples of Duties ESSENTIAL DUTIES AND RESPONSIBILITIES: The following duties and responsibilities are typical of those performed in this classification. • Performs analytical duties in support of the ongoing development and enhancement of ERP applications as well as other specialized departmental, software and peripheral equipment. • Collaborates with department management and functional users to identify opportunities to improve business process automation; develops data collection and workflow processes; analyzes and documents desired or needed changes to functional and business specifications. • Recommends system changes for increased efficiency and effectiveness; presents recommendations and project requirements to management. • Coordinates with ITS staff regarding desired enhancements, modifications, and upgrades to systems and applications pertaining to areas such as user work processes, system functionality requirements, and current system functions; recommends requirements for new systems and/or enhancements to existing systems in collaboration with department management, ensuring that system designs will meet user needs. • Coordinates and performs system application testing; troubleshoots system problems after release changes and/or upgrades and partners with ITS staff to make changes in configurations to resolve errors; serves as the liaison between departmental users and ITS staff in the analysis, design, functional configuration, testing, and maintenance of the system. • Maintains and updates reference tables within data management systems. • Provides technical assistance and training on data management system functions and operations to faculty and department employees. • Writes and maintains detailed, easy to understand procedures and process guides for technology related projects for end users. • May troubleshoot, diagnose, and resolve application problems; refers technical issues to the ITS department as appropriate. • Designs and prepares system queries and technical reports related to departmental operations. • May coordinate document imaging functions for the assigned area. • May maintain department webpages. • May provide work direction to lower-level employees, temporary employees, and/or student workers. • Performs other related duties as assigned. Minimum Qualifications MINIMUM QUALIFICATIONS The education, training, and experience qualifications are considered likely to provide the required knowledge and abilities to perform the above essential duties. Education and Experience Bachelor's degree from an accredited college or university with a major in computer science, management information systems, business analytics, public or business administration, or a closely related field. Four (4) years of database management system experience in the area of assignment,including one (1) year of experience analyzing data, improving database functionality, troubleshooting system-level issues, and improving business automation processes. Licenses/Certifications/Other Requirements • Depending on the assignment, experience that directly provides knowledge of specific departmental programs and operations may be required. • If assigned to theFinancial Aid Department, must maintain eligibility to access the National Student Load Data System (NSLDS). Knowledge of: • Methods of analyzing and documenting business processes to identify automation opportunities, including standard business process analysis techniques and tools. • Standard database management systems, ERPs and other business application software. • Specialized computer peripheral equipment. • Principles of application maintenance. • Methods of researching and reporting complex statistical and narrative information. • Operational practices, processes, and terminology related to the assigned area. • Laws, regulations, standards, and/or requirements applicable to areas of assignment. • Technical methods of data organization, collection, research, and reporting. • Methods of prioritizing, planning, and organizing work. • Standard office practices or procedures. • Standard office software and modern office equipment. • Standard formats for business correspondence and other communications. • Correct use of the English language, including spelling, punctuation, and grammar. • Business arithmetic. Ability to: • Perform business process analysis and reach sound, logical conclusions regarding user needs and business requirements. • Utilize standard database management systems, ERPs, and other business application software. • Utilize specialized computer peripheral equipment. • Analyze, troubleshoot, diagnose, and provide appropriate solutions to data management system problems. • Analyze and develop improvements for department database management system manuals and procedures. • Stay abreast of and update skills to adapt to advances in technology and business processes. • Coordinate technology projects. • Communicate technical information to end users. • Reason logically to foresee problems and develop and evaluate alternative solutions. • Gather and compile statistical and financial data. • Prepare reports, records, and other technical documentation pertaining to data operations. • Recommend improvements in processes and procedures. • Research, apply, and explain the laws, regulations, policies and/or procedures applicable to areas of assignment. • Operate a variety of office equipment including computers and printers/copiers. • Utilize standard office software (e.g., email, word processing, and spreadsheet software). • Maintain confidentiality of sensitive and/or protected information. • Prepare reports, correspondence, and other documents using multiple business formats. • Perform business arithmetic. • Prioritize work and complete assignments accurately and within established deadlines. • Provide and obtain detailed information to/from others. • Provide customer service with a high level of sensitivity, tact and patience. • Exercise reasonable judgment in performing job duties. • Work and perform duties independently. • Perform and prioritize multiple tasks. • Communicate effectively, both orally and in writing. • Establish and maintain cooperative and effective working relationships with all employees and others encountered in the course of work. • Demonstrate a sensitivity to, and understanding of, the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students. PHYSICAL AND MENTAL STANDARDS The following physical and mental standards are identified as necessary to perform the essential duties and responsibilities. ENVIRONMENTAL CONDITIONS Work is primarily performed in a standard office or other indoor environment. Additional Information Salary The Data Operations Analyst classification’s current salary range is R-43. Starting salary is fromStep 1:$6,770.81toStep 3: $7,464.82permonthdepending upon education and experience.
