Job Description

The Customer eXperience Center (CXC) Operations Specialist will assist in the management of day-to-day operations for the Nuance CXC at our headquarters location in Burlington, MA. The CXC is a source of inspiration where customers come to learn the value of our solutions, collaborate with experts, and build lasting relationships. This role will help support the day-to-day operations including guest services, meeting planning, inventory, catering, building maintenance and room and calendar reservations. The ideal candidate will have event planning or hospitality experience and familiarity with customer experience or briefing centers to be able grow with us as we expand and scale the number of customer visits.
Role and Responsibilities:
  • Manage all tactical components of customer meetings and briefings (administrative/logistical/hospitality) and participate in event production and execution
  • Partner with internal contacts to schedule and prepare for events including catering, security, administrative support and marketing and technology team
  • Provide logistical/concierge support for customers and account teams if needed including dining, transportation, logistics and entertainment
  • Track and report attendee information. Provide reporting to reception for all potential guests/ensure that all guests are registered and that all name badges are prepared
  • Greet and escort customers, coordinate arrival plans with reception, security and CXC staff
  • Manage calendar of scheduled meetings and requested dates
  • Manage and ensure all catering responsibilities (relationship, ordering, set up and clean up). Provide associated dietary restrictions for meetings and monitor catering quality and feedback
  • Update agenda templates, print and set up rooms for meetings with meeting materials
  • Manage inventory of supplies and giveaways and alert team of re-orders needed based on meeting and attendee volumes.
  • Perform other duties and special projects as assigned

Skills and Knowledge:
  • Experience in client/customer service roles, hospitality, and meeting and event planning preferred. Experience with professional customer briefing centers a plus
  • Strong organizational skills including attention to detail and the ability to prioritize and manage multiple tasks
  • Demonstrated ability to problem solve. Ability to troubleshoot and handle issues that may arise during the planning process and during meetings
  • Strong computer skills. Must be proficient in MS Office Suite (MS Word, PPT and Excel). Familiarity with virtual collaboration platforms (MS Teams and Zoom) a plus
  • Ability to work effectively with all organization levels
  • Willing to work outside of normal business hours when necessary
  • Strong oral and written communication skills
  • Demonstrated ability to work in a fast-paced environment
  • Ability to execute and proactively strive to improve upon superior customer experience
