Job Purpose
As the Executive Assistant at Securin, you will provide comprehensive administrative and organizational support to both the CEO and President/COO. You will be responsible for managing calendars, coordinating meetings and travel arrangements, preparing reports and presentations, and assisting with various projects. This role requires exceptional communication skills, strong attention to detail, and the ability to work in a fast-paced and dynamic environment.
Responsibilities:
Calendar and Schedule Management:
- Efficiently manage executive calendars, scheduling appointments, meetings, and conferences.
- Coordinate and prioritize meetings, ensuring all necessary materials and resources are prepared in advance.
- Handle scheduling conflicts, make necessary adjustments, and maintain a well-organized calendar system.
Communication and Correspondence:
- Manage incoming and outgoing communications on behalf of the executives, including emails, phone calls, and messages.
- Draft, edit, and proofread correspondence, reports, presentations, and other documents as needed.
- Maintain a high level of professionalism and confidentiality in all communications.
Meeting and Event Support:
- Coordinate and organize meetings, including agenda creation, (for in person meetings will also include meeting room setup, and catering arrangements).
- Take meeting minutes, track action items, and follow up on outstanding tasks. Use Chorus/Google to get meeting transcript, use ChatGPT to Summarize and Identify Action Steps
- Organize, schedule and assist with the preparation of presentations, reports, and other materials for executive-level meetings, Board meetings, All Hands meetings, etc.
Project Support and Research:
- Support various projects and initiatives by conducting research, gathering data, and preparing relevant materials.
- Assist in the preparation, editing, and organization of electronic presentations and materials, contracts, and presentations.
- Collaborate with cross-functional teams to ensure timely completion of project deliverables.
Office Management and Administrative Support:
- Provide general administrative support to the executive team, including electronic filing and document management.
- Coordinate with internal departments and external stakeholders to facilitate smooth operations.
- Handle confidential and sensitive information with utmost discretion and professionalism.
Travel and Logistics Coordination:
- Arrange domestic and international travel, including flights, accommodations, and ground transportation for executives.
- Prepare detailed itineraries, ensuring all travel arrangements are accurate and well-planned.
- Manage travel expenses, receipts, and reimbursements in accordance with company policies.
Qualifications:
Minimum Qualifications
- Proven experience as an Executive Assistant for a C level Executive.
- Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines.
- Excellent verbal and written communication skills, with exceptional attention to detail.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite (Calendar, Docs, Slides) and collaboration platforms.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Excellent problem-solving and decision-making abilities.
- Strong interpersonal skills and the ability to work effectively with diverse teams.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field (preferred).
- Experience working in fast paced startup is ideal
- Knowledge of the technology industry and its terminology is a plus.
Working conditions
Work is generally conducted indoors on carpeted floors, typically during regular business hours, Monday through Friday.
Physical requirements
Stand or sit for extended periods of time.
