SUMMARY

The Executive Assistant is responsible for executing high level administrative functions for The Savings Group Co-CEO’s and Executive Team members, including organizing travel and accommodation, coordinating complex scheduling and calendar management, and managing communication and flow of information with key stakeholders. This position will also assist with the management of the office, which includes ordering supplies, preparing, and coordinating meetings. In addition to facilities coordination.

Executive Assistant ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  • Understand and demonstrate the principles of The Savings Group’s Mission, Vision and Values.
  • Manage and coordinate schedules for executive team and manage calendars.
  • Coordinate and arrange executive’s travel arrangements, including hotel bookings, transpiration, meals and other travel related activities.
  • Organizing meetings, both virtual and in-person.
  • Perform high level administrative duties, including notetaking, faxing, managing contact databases, mail, emails and phone calls.
  • Assist with drafting and disseminating internal and external communication on behalf of the executive team.
  • Perform office management relates duties which include, ordering office and kitchen supplies, and catering.
  • Coordinate with building management to resolve issues.
  • Manage and maintain parking, public transportation passes, and gym access for employees.
  • Screens mail and telephone calls and directs them as appropriate.
  • May attend management meetings and prepare meeting minutes. 
  • Supervise Reception.
  • Other duties as assigned.

 

SKILLS/REQUIREMENTS:

  • Must have a high school diploma or a GED. Strong background as an Executive Administrative Assistant, at least 5 years, preferred.
  • Requires excellent interpersonal and organizational skills, tact, sense of urgency, and attention to detail. 
  • Knowledge of business administration practices and principles, including finance and accounting. Computer skills required, particularly in Excel, Power Point, Outlook, Word and Quick Books is a plus.
  • Skilled in organizing resources and establishing priorities. Ability to apply common sense understanding to carry out instructions.
  • Ability to deal effectively and harmoniously with people at all levels of the organization and to represent the firm.
  • Operates with a high level of confidentiality, independent judgement and initiative.

COMPENSATION

This position pays $65 – 72,000/year salary

NON-PHYSICAL DEMANDS:

Change of tasks, performing multiple tasks simultaneously, working with others as part of a team, and irregular schedule/overtime may be required at times.
