Job Description

We are seeking a polished and seasoned executive administrative professional that will support our Chief Executive Office & Chief Operating Officer.


What You Will Do

  • Complete a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plan, coordinate and ensure the CEO/COO’s schedule is followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO/COO's time.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO/COO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provide a bridge for smooth communication between the CEO/COO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior leaders.
  • Communicate with vendors, contractors, owners, and other external contacts to ensure pertinent information is both received and conveyed.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
  • Participate as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings.
  • Perform any additional duties to support company leadership.

What You Will Bring

  • Minimum of 5 years of direct experience
  • Bachelors’ degree strongly preferred
  • Insurance/financial institution experience preferred
  • High level of confidentiality
  • High level of professionalism and business sense with positive and approachable attitude
  • Self-starter with natural ability to be pro-active and anticipate needs
  • Ability to meet a demanding work load and schedule, which may occasionally require working outside of regularly scheduled hours as schedule may vary based on business need
  • Exceptional verbal and written communication skills is a requirement
  • Must be highly organized with meticulous attention to detail
  • Strong proficiency and experience with MS Windows; Office365 including Outlook, PowerPoint, Word, and Excel with the ability to learn new technologies quickly
  • Ability to self-manage time and assignments to successfully balance multiple priorities and effectively meet deadlines
  • Ability to think through complex issues and problems, and escalate only the most complex issues as needed
  • Ability to travel may be necessary once role is established
