THE ROLE: BRAND IMPACT GROUP (B.I.G.) EXECUTIVE ASSISTANT

Reporting to the CMO, BIG Executive Assistant will support the broader BIG LT (VP Creative, Sr Marketing Director, Sr Brand Director, Sr eCom Director and Insights Director) in streamlining processes, drive accountability and actively contributing to our culture. The BIG EA is responsible for identifying and implementing tools that support annual planning initiatives, optimizing meeting management and partnering with the BIG LT to plan two offsites per year. This role is expected to actively contribute to the execution of department initiatives while also providing proactively identifying new opportunities to deliver on business growth and cultivate an inclusive environment. 

KEY RESPONSIBILITIES​

  • Create and manage Brand Impact Group department calendar, capturing all team deliverables, identifying dependencies and driving accountability to ensure that all deadlines are met​
  • Lead the bi-annual department offsite planning, including budget management, venue selection, transportation arrangement, vendor selection, etc, ensuring that events meet budget targets and drive team engagement​
  • Support key product mailings and swag development for influencers, celebrity partners, Board members and PR events​
  • Manage essential intradepartmental meetings – scheduling, distributing agendas, taking notes and driving accountability to ensure follow-ups are completed ​
  • Lead compilation of multi-team deliverables (e.g. annual Operating Plan, tactical plans, etc) – ensuring formatting is consistent and aligned with brand guidelines​
  • Manage department Sharepoint, creating effective structure, ensuring key files are uploaded and archived as relevant​
  • Contribute to culture by ensuring team birthdays, anniversaries and life events are celebrated in accordance with company policies​
  • Manage BIG Travel & Expense budget and coordinate group travel for BIG LT (booking hotels, airfares, etc) for shoots, conferences, customer meetings, to ensure that budgets are efficiently deployed​
  • Manage expense reports for CMO and approval of expense reports for broader BIG LT tin timely and accurate manner​
  • Participate and add to our culture to make life at Camp OLLY (SF headquarters) better for all of us! 

THE  CANDIDATE ​

The ideal candidate is a self-starter that is passionate about problem solving, thrives in a fast-paced dynamic environment and is detailed-oriented while simultaneously able to zoom out and connect the dots to the bigger picture. They prioritize people and culture in all that they do and actively seek and provide constructive feedback. They embrace a growth mindset and challenge the status quo – regardless of whether a task is small or big, they roll up their sleeves to make things happen.

CAPABILITIES + SKILLS REQUIRED​

  • 5-10 years experience as an executive assistant in a high growth environment with a successful track record of supporting multiple senior leaders​
  • An ability to build consensus across teams with a passion for problem-solving, collaboration, digging into the details and rolling up sleeves to make things happen​
  • A passion for challenging the status quo and the ability to create the processes, tools and infrastructure to build a $1B brand​
  • Self-motivation and a strong sense of ownership and accountability, managing multiple high priority initiatives to successful outcomes in a dynamic, fast-paced environment​
  • Strong communication skills, both written and verbal, with extensive experience with PowerPoint as a communication medium​
  • Experience managing and tracking expenses, including strong Excel and Expensify proficiency​
  • Events planning experience for 40+ individuals, ideally multi-day events​
  • Exceptional interpersonal skills with a high degree of discretion

LOCATION: San Francisco, CA - Priority given to SF Bay Area candidates but relocation support will be provided for out-of-area candidates as needed. (Hybrid - Tuesdays in office / 4 days WFH)​

HOURS: full time, exempt (salary)​
