As the Executive Assistant to CEO & COO you will play a vital role in supporting our executives with day-to-day administrative tasks, schedule management and various projects. Resourcefulness, cross-function collaboration and commitment to professional integrity and confidentiality are crucial in this position. This role requires you to be on-site at our Santa Monica office 2-3x a week.

Role and Responsibilities

As the Executive Assistant, your primary responsibilities include the following:

  • Optimize and manage CEO & COO time by prioritizing their calendars, recommending possible efficiencies and resolutions to conflicts
  • Act as the central point of contact for daily requests, ensuring proactive communication with executives, the internal team and external contacts
  • Cultivate positive relationships with co-workers and external contacts, ensuring that everyone you interact with on the executive’s behalf feel valued
  • Communicate relevant and potentially sensitive information accurately and effectively within the organization
  • Provide comprehensive administrative support including email monitoring, expense preparation, research and record keeping
  • Keep executives informed about critical dates and deadlines, following up as necessary
  • Assist in arranging travel accommodations, prepare itineraries and ensure smooth travel logistics
  • Organize and coordinate meetings and events as needed
  • Provide personal support such as ordering lunch, making appointments, managing bookings, running errands, planning events as needed
  • Take on additional administrative tasks and special projects aligned with your background and qualifications

Qualifications and Requirements

  • 3+ years of administrative experience in a fast-paced, corporate environment
  • Knowledge and experience with Microsoft Outlook, Word, Excel, Outlook & Keynote
  • Excellent oral and written communication skills
  • High attention to detail and organization with the ability to manage multiple, competing priorities
  • Strong team player with a terrific work ethic and ever-positive, flexible and get-it-done attitude
  • Experience with designing aesthetically pleasing presentation decks is a plus!
  • This role requires you to be on-site at our Santa Monica office 2-3x a week. Local candidates only please apply.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to move and lift heavy objects (15 pounds or more) from time to time as required

The annual base salary range for this position is $90,000 - $120,000. The base salary is determined by experience, education, skills, and location.
