Job Description:


We are seeking a highly organized and proactive individual to serve as the Executive Assistant to the Chief Executive Officer (CEO) with additional responsibilities as the Chief of Staff. The successful candidate will provide high-level administrative support to the CEO while also overseeing and coordinating various strategic initiatives and projects across the organization.


Responsibilities:

Executive Support

  • Manage the CEO, President and COO, SVP-Sales, VP-Strategy's calendar, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact between the CEO, COO, SVP-Sales, VP-Strategy and internal/external stakeholders, including clients, partners, and board members.
  • Prepare and organize materials for meetings, presentations, and conferences.
  • Handle sensitive and confidential information with discretion.
  • Keeps communication and events between the Board of Directors and ZEDEDA running smoothly. Responsible for confidential administrative support to the CEO and Board including managing calendars coordinating meeting space, catering and any other activities.

Chief of Staff Duties

  • Serve as an insight driver for the ELT, presenting insights on key business decisions and initiatives.
  • Coordinate and facilitate cross-functional projects and initiatives, ensuring alignment with organizational goals and priorities.
  • Drive the execution of strategic plans, monitoring progress and identifying areas for improvement.
  • Act as a liaison between the CEO/President and COO and other departments, fostering collaboration and communication.
  • Conduct research and analysis on various business topics, preparing reports and presentations as needed.
  • Lead special projects and initiatives as assigned by the CEO.

Communication and Relationship Management

  • Communicate effectively on behalf of the ELT, drafting correspondence, emails, and other communications.
  • Build and maintain strong relationships with internal and external stakeholders.
  • Collaborate with other members of the executive team to ensure alignment and coordination of efforts.

Administrative Support

  • Communicate effectively on behalf of the ELT, drafting correspondence, emails, and other communications.

Qualifications

  • Bachelor's degree in business administration, management, or related field.
  • Proven experience (2 years) supporting C-level executives in a fast-paced environment.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to exercise sound judgment and maintain confidentiality.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Experience in project management and strategic planning preferred.
  • Ability to thrive in a dynamic and evolving organization.

Pay & Benefits

Zededa’s main compensation philosophy is to provide you with the opportunity to progress as you grow and develop with the company. The base pay range, dependent on your skills, qualifications, experience and location for this role is between $130,000 and $160,000, and will also include bonus, equity and benefits components to round out your total compensation.
