Baxter Planning is headquartered in Austin, Texas with offices in Spain and India. This role will be located out of our rapidly growing Barcelona office, though it is a hybrid position.Â

Position OverviewÂ
As an HR Administrative Assistant at Baxter Planning, you will have an opportunity to further your career in an international environment. You will partner with employees and managers across the organization to ensure an excellent experience consistent with Baxter Planningâs culture and values throughout the employee lifecycle. You will provide support to the People and Culture department while taking care of the office in Barcelona, and making sure the team is happy and motivated. This is a hands-on, tactical role that provides opportunities for optimal learning and creativity.Â

ResponsibilitiesÂ
Office ManagementÂ

Ensure that the Barcelona office is a welcoming, safe, and clean environment.Â

Direct day to day office services, such as maintenance, repair, mail.Â

Maintain inventory of healthy snacks, drinks, and office supplies as needed.Â
HR AdministrationÂ
-
Maintain employee documents and other sensitive and confidential employee related information with a high level of integrity. This may include health & safety, employment contracts and employee work authorizations.Â

Provide general administrative assistance (bookings etc.)Â

Assist with recruitment process (scheduling and posting interview feedback)Â

Assist with onboarding of new employees. Coordinate resources with other departments including IT to ensure employee has needed equipment, tools, and training schedule.

Plan and execute office events (Booking venues, Scheduling deliveries, etc)Â

Manage employee benefits. Perform regular audit of employee files and benefit enrollments.Â

Manage office invoicesÂ

Other duties as requiredÂ

QualificationsÂ

University degreeÂ
-
2+ years in a similar position (office administration, office management, etc.)Â

Office 365 proficiencyÂ
-
Accounting or HR experience is desirableÂ

Fluency in Spanish and English (min. B2)Â

Good communication skillsÂ

Good organization and time management skillsÂ
