As an HR and Payroll Specialist, you will play a vital role in ensuring accurate and timely processing of payroll for employees and union personnel. You will collaborate with other teams to maintain payroll records, resolve payroll discrepancies, and ensure compliance with regulations.

KEY RESPONSIBILITIES FOR THE HR AND PAYROLL SPECIALIST
Payroll Processing
- Review and verify timesheets, attendance records, and other relevant documentation.
 - Document all transactions related to wages.
 - Process payroll in a timely, accurate manner to meet weekly deadlines for a variety of wage rates, union wage codes, deductions, etc.
 - Pay auto allowances timely and correctly.
 - Enter cell phone deductions and other periodic corrections and adjustments.
 - Mail checks to recipients in accordance with instructions from operations.
 - Process garnishments, child support, and loan deductions in accordance with predetermined agreements.
 - Produce payroll reports for management and confirm approval for overtime or paid time off.
 - Reconcile payroll discrepancies, and resolve any issues that may arise.
 - Communicate with employees and union personnel about any discrepancies in their pay.
 
Compliance / HR support:
- Maintain computerized payroll tax files and rates.
 - Ensure compliance with federal, state, and local payroll regulations and tax requirements.
 - Prepare and timely file union reports.
 - Maintain union files and tables and keep up to date as changes occur.
 - Ensure compliance with I9 and E-Verify reporting requirements.
 - Maintain employee personnel files (computerized and manual).
 - Respond to various governmental notices and requests.
 - Monitor unemployment claims to ensure the validity of claims and contest when necessary.
 - Respond to employment verification requests.
 - Remain current on changes in payroll regulations and best practices.
 - Proactively manage the payroll process and collaborate with management to enhance and improve the payroll process.
 
QUALIFICATIONS AND SKILLS FOR THE HR AND PAYROLL SPECIALIST
- 3+ years’ experience as a payroll specialist or similar role with knowledge of payroll processing for hourly, salary, and union personnel.
 - Associate’s degree in a related discipline is preferred; relevant work experience in payroll is required.
 - Proficiency with payroll software and MS Office, especially Excel required.
 - Meticulous attention to detail and excellent organizational skills.
 - Exceptional mathematical and calculation skills.
 - Ability to handle sensitive and confidential information with integrity.
 - Knowledge of payroll regulations and tax laws.
 - Strong communication and interpersonal skills.
 - Ability to communicate to all personnel regarding payroll concerns.
 - Knowledge of payroll, garnishments, and benefits distribution.
 - Demonstrated understanding of wage and union codes including set up and correct application.
 - Maintain a clear understanding of vacation and holiday pay eligibility.
 - Exercise solid research and analysis skills.
 
OTHER
This position will include tasks that may require immediate attention. A key factor in this role is an attitude of “whatever it takes” to accomplish the job satisfactorily.
