Job Description:
POSITION: Human Resources/Administrative Assistant II
DEPARTMENT: People Team
REPORTS TO: People Team Leader
GENERAL PURPOSE OF JOB:
The Human Resources Assistant II is responsible for a variety of Human Resource functions while providing support with the day-to-day operations of the Human Resources Office. The HR Assistant carries out responsibilities in the following areas: departmental development, employee relations, training and development, benefits, compensation, safety and risk management.
Duties/Responsibilities:
- Assists in the recruiting, interviews, and facilitation of hiring qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
- Implements new hire orientation and employee recognition programs.
- Performs routine tasks required to administer and execute human resource programs including but not limited to performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
- Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
- Attends and participates in employee disciplinary meetings, terminations, and investigations.
- Process and maintain confidential employment documents
- Provide support to recruitment function with activities such as posting job requisitions, sourcing resumes, scheduling interviews, coordinating drug screens, and career fair registration
- Support People Team Leader in conducting exit interviews
- Assemble new hire and benefit materials
- Answer employee questions about human resources programs, policies, and procedures
- Prepare and generate reports for both internal and external customers
- Coordination of meetings/events, including setup/cleanup, ordering refreshments, securing location, etc.
- Oversee specific processes in a “process owner” capacity, such as recognition programs, ordering of supplies, and engagement activities.
- Accepts, screens, and directs incoming phone calls to appropriate individuals with efficiency and accuracy. Identifies self in pleasant and positive manner while taking responsibility for helping the caller. Accurately maintains the Vante phone updates on SharePoint and Excel.
- Courteously greets all visitors and staff. Welcomes customers, visitors and vendors while securing the nature of visits and directing them to the appropriate individual. Keeps track of employee comings and goings in order to handle calls and visits appropriately.
- Maintains a clean and orderly appearance of the front reception area of the office, training, and conference rooms.
- Sorts, screens, and distributes incoming and outgoing mail. Monitors fax machine for incoming faxes & delivers to appropriate personnel.
- Maintains birthday/anniversary calendars, sends out birthday emails to associates and flowers when needed.
- Acts as a customer liaison. Provides accurate directions. May organize small on-site lunches and make hotel reservations in town for visiting personnel or customers.
- Orders, stocks, and distributes office supplies, safety supplies and vending supplies.
- Assists in the coordination and completion of special projects and performs miscellaneous job-related duties as assigned. Must be able to multi-task.
- Performs other duties as assigned.

- Thorough knowledge of employment-related laws and regulations.
- Proficient with Microsoft Office Suite or related software.
- Proficiency with or the ability to quickly learn the organizations HRIS and talent management systems.
Education and Experience:
- Bachelor’s degree in human resources, Business Administration, or related field required.
- 2+ years of human resource management experience preferred.
- SHRM-CP or PHR a plus.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Must be able to access and navigate each department at the organization’s facilities.
