Position Description ::
The ideal candidate is a detail-oriented, service-driven professional with experience in coordinating complex travel arrangements and working directly with VIPs, influencers, and internal stakeholders. This position requires impeccable organization, communication skills, and a passion for creating best-in-class experience.
Responsibilities:
Travel Management:
• Coordinate all aspects of influencer travel for client’s events, including airfare, ground transportation, accommodations, and other logistics.
• Serve as the primary point of contact for influencers regarding their travel needs, ensuring all arrangements are tailored to their preferences and schedules.
• Partner closely with client’s travel agency and internal travel teams to book, confirm, and adjust travel itineraries as needed.
• Document, oversee and manage travel budgets.
• Compile and share clear, up-to-date documentation outlining immigration eligibility requirements across various regions.
VIP Service:
• Provide white-glove service to influencers, ensuring a seamless and professional experience from initial contact to post-event follow-up.
• Proactively address and resolve any travel-related issues, maintaining clear communication with influencers and stakeholders at all times.
Cross-Team Coordination:
• Collaborate with internal teams, including Influencer Management, Events, and Travel Operations, to align on logistics and expectations for each event.
• Work with the Events team to understand event schedules and provide tailored travel support to align with programming and timelines.
Documentation and Communication:
• Maintain accurate records of travel itineraries, preferences, and expenses.
• Create and share detailed travel documents, including confirmations, itineraries, and FAQs, with influencers.
Process Optimization:
• Identify and implement improvements to travel coordination workflows to enhance efficiency and ensure best practices.
• Leverage feedback from influencers and internal teams to continuously refine processes and elevate the VIP travel experience.
• Support on-site Event Production
• Assist the Events team with on-site production needs, including coordinating schedules, managing vendor relationships, and supporting day-of logistics.
Qualifications:
• 3–5 years of experience in travel coordination, event logistics, or a related role, preferably in the entertainment, gaming, or hospitality industries.
• Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
• Strong interpersonal and communication skills, with a proven ability to work directly with VIPs, influencers, and diverse internal teams.
• Experience coordinating international travel, including navigating visa and entry requirements.
• Detail-oriented mindset and commitment to delivering best-in-class service.
• Familiarity with travel booking systems and tools; experience working with travel agencies is a plus.
• Ability to remain calm and solution-focused under pressure.
• Passion for gaming and understanding of client culture and community is a strong plus.
