Overview:
Sea School, a USCG-certified maritime training school with locations across the Southeast, is seeking a dedicated and professional Customer Service Representative/Credentialing Specialist to join our team in Jacksonville, FL. This position serves as a key administrative and customer service professional within our maritime training organization. This role is responsible for assisting mariners in all aspects of maritime training, including class schedules, payments, issues with the complex requirements of the U.S Coast Guard (USCG). The Specialist ensures accuracy, compliance, and timeliness in all documentation while delivering professional support to students, instructors, and industry partners.The ideal candidate will have excellent customer service skills, strong communication abilities, and a proactive attitude toward problem-solving and assisting students. We are looking for someone who is detail-oriented, organized, and able to juggle multiple priorities effectively. The role also requires comfort with ambiguity, a willingness to collaborate with instructors and regulatory agencies, and a hands-on approach to tackling daily challenges.
Key Responsibilities:
• Inbound Call Management:Professionally handle incoming phone traffic, providing accurate information and assistance to callers regarding Sea School’s offerings, course schedules, drug consortium services, and general processes for obtaining a Merchant Mariner License.
• Student Enrollment:Guide prospective students through the enrollment process for various classes, ensuring that all necessary information and documentation are collected and accurately recorded.
• Transaction Processing:Handle payment processing for students enrolling in courses, including verifying payment information, processing transactions, and issuing receipts.
• Post-Course Support:Assist the student processing team with post-course paperwork, processing certificates, and ensuring that all required documentation is completed and filed appropriately.
• Student Guidance:Educate callers about Sea School’s programs, prerequisites for courses, and the steps involved in attaining maritime credentials. Connect students with other Sea School resources as needed.
• Data Management:Maintain accurate records of student interactions, course enrollments, test results, compliance documentation, and other required data.
• Regulatory Compliance:Ensure all activities comply with U.S. Coast Guard and DOT regulations, staying updated on any changes in compliance requirements.
• Team Collaboration:Work closely with other Sea School staff and departments to ensure that students receive the support and information they need. Collaborate with instructors, regulatory agencies, and industry professionals to ensure smooth operations and compliance.
Qualifications:
• Maritime licensing experience.
• Proven experience in a customer service role, with the ability to handle inquiries professionally and efficiently for at least five years.
• Excellent verbal and written communication skills, with the ability to convey information clearly and effectively.
• Strong attention to detail and ability to manage multiple tasks simultaneously in a fast-paced environment.
• Comfortable using Microsoft Excel, Word, and other software applications to manage data and records.
• Ability to address and resolve student and member inquiries with a positive and solution-oriented approach.
• Detail-oriented, organized, and able to juggle many priorities.
• Comfortable with ambiguity and able to adapt to evolving processes and priorities.
• Willingness to roll up your sleeves and get involved in the weeds to ensure smooth daily operations.
