Job Title: Executive Assistant to Chief Marketing Officer
Employment Type: Full Time, 40 hours/weekÂ
Reports to: C-SuiteÂ
FLSA Status: ExemptÂ
Salary: $40,000-$50,000 (depending on experience)

OpportunityÂ
The Marketing Executive Assistant focuses on helping the Chief Marketing Officer become more productive by helping them reduce the amount of time that they spend on administrative and other tasks that can be handled by someone else. The Executive Assistant will have the opportunity to gain knowledge related to the marketing field, and to be promoted into higher level organizational roles based on performance.
Essential Duties

Provide high-level administrative support and assistance to the key C-suite leadership.

Perform clerical and administrative tasks including drafting emails, memos, invoices, reports, and other documents for C-suite executives.Â

Arrange travel and accommodations while maintaining calendars.
-
Schedule and attend meetings on behalf of executives, taking notes and recording minutes.
-
Receive incoming communication executives, reviews contents, determines importance, and summarizes, distributes contents to appropriate staff, and/ or response appropriately.

Help executives with personal and business errands.

Represent executives and company to outside contacts with excellence through personal meetings, as well as video, phone, email, and text communications.

Coordinate with various departments and staff as needed by executives.

Juggle multiple tasks and projects and constantly prioritize them based on importance and time sensitive needs.

Negotiate by driving down costs and improving value with multiple vendors, contractors and suppliers.

Perform office tasks including maintaining records, ordering supplies, and anything that is needed.

Maintain and manage projects though projects and tasks through tools like Asana.

Support staff and departments in organizing various projects.

Occasional travel with executives to events to help them become more productive at events.Â
Knowledge, Skills and Abilities PreferredÂ

Excellent project management, organizational skills, and attention to detail.

Some experience in marketing or a related fieldÂ

Proficient in Excel, Power Point, and Word.

Able to adapt quickly to different situations and make the right the decision.

High capacity to handle a lot of activities and make appropriate decisions.

Excellent verbal and written communication skills.

Strong ability to follow through, manage, and prioritize multiple projects and tasks.

Creative problem solver.

Highly organized and efficient.

Knowledge in Microsoft Office and other tools and apps.

High aptitude for technology and understanding how to manage any technology issues.Â

Able to type a minimum of 75 words per minute.Â

Self-motivated, self-managed, and driven by performance.Â

Ability to effectively multitask while keeping a positive attitude.

Organized and focused, yet with a “whatever needs done” for the organization mentality. Willingness to roll up your sleeves and get work done.

Able to create and maintain collegial relationships with all team members.
Qualifications and Experience PreferredÂ

5+ years of related work experience.
