Meeting Coordinator

The Meeting Coordinator will be responsible but not limited to, supporting onsite meetings and events while following the client's vision and values. The ideal candidate has a hospitable and creative personality reinforced with exceptional business acumen and tech-savviness. This position will both perform event planning duties, support the reservation process, customer service, participate in client/team meetings and backup staff as needed.

You will be an informational resource for the client, facility team and onsite services. This role requires flexibility and the ability to wear many hats of service.

  • Maintain supplies in assigned meeting spaces.
  • Provide excellent customer service to the client and meeting attendees
  • Provide reservation support for onsite meetings and events.
  • Being the first point of contact for the client to gather meeting and event logistics to support their requests needs.
  • Participate in meetings with services that support meetings.
  • Day of meeting support based on the meeting/event and the clients needs.
  • Able to retain knowledge and understand of the complexity of the meetings and meeting spaces.
  • Work with A/V groups to coordinate client's needs.
  • Have basic A/V knowledge to help troubleshoot issues in meeting rooms.
  • Coordinate set ups with Plant Engineering for meetings/events. Provide room diagram as needed.
  • Ability to handle last minute requests, and quick turnaround time in-between events.
  • Must be highly organized and able to prioritize their daily/weekly schedule.
  • Data entry; Maintain accurate reporting in Excel for meetings and other various data.
  • Ability to be on your feet, standing or walking for extended periods of time.
  • Have good direction of your space and location.
  • Take on other project assignments.
  • Time management skills with the ability to meet deadlines.
  • Data entry.
  • On site daily.
Experience:

At least 3-5 years of meeting and event coordinating. With an emphasis onsite campus support.

Previous concierge or VIP experience a plus.

The ability to multitask many priorities and drive results in a fast and heavily matrixed environment.

Exceptional customer service with a passion for coordinating and hospitality.
