Job Description

Sharfi Holdings is looking for a full-time Office Assistant/Event Coordinator to join our team in our Jensen Beach office. This person will work to support the daily operations of the office.Β 


The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.

Office Assistant Duties and Responsibilities:

  • The Office Assistant at Sharfi Holdings supports an assigned group of company’s Executives by assisting with the following: Calendar Management, Travel Arrangement, and other administrative duties.
  • Serves as the Receptionist for the office, greeting visitors, applicants and tenants.
  • Responsible for sorting and delivering incoming mail to appropriate individual
  • Responsible for ordering and maintaining inventory of office supplies
  • Coordinate and oversee all aspects of event planning and onsite event logistics, including all amenities and Accommodations, site selection, food, audio/visual equipment, registration, and proper event staffing.
  • Develop program activities to support the mission, prepare communications and correspondence, regularly evaluate current activities, and produce reporting.
  • Maintained outreach events calendar and regularly communicate updates to relevant stakeholders.
  • Organize speakers, recruitment, talking points, bios, event information, profile pictures, uploading presentations, etc.
  • Develop informational materials and work with content creators to develop messaging, branding, and outreach materials, including collateral, electronic, and social media promotions related to events.
  • Be a key point person in cross-departmental awareness, promotion, and communication of events.
  • Work with the community and relevant groups (Chamber of Commerce, EDCs, etc.) to develop community relationships.
  • Order and coordinate event materials and displays.
  • Propose ideas to improve services and event quality.
  • Planned social campaigns and coordinated special social projects to promote workshops and activities, including newsletters, pamphlets, and web postings.
  • Perform other duties as required to meet the overall mission, goals, and objectives of the program area.
  • Assist with negotiation and review of event contracts and agreements.
  • Assist with managing event budgets, including tracking and ensuring expenses remain within budget.
  • Book events and groups for PDR / Circa 69.
  • Keep an updated content calendar with release dates/content for posting.
  • Attend outreach meetings and social media content planning meetings.
  • All other administrative tasks as required

Qualifications: Preferred Education and Experience:

  • Exceptional organizational and file management skills a must and being able to work independently and multi-task in a fast-paced environment
  • Advanced skill level in Microsoft Office applications is required along with strong proofreading/critical thinking skills
  • Exceptional oral and written communication skills
  • Notary License
  • Bi-lingual (preferred)
