The Role 

We are looking for a highly organised and proactive Office Coordinator to join our operations in Poland. It will be your job to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. 

The responsibilities include: 

  • Running the company's office in Cracow 

  • Handling the document flow, incoming/outgoing correspondence, etc. 

  • Contract and price negotiations with office vendors and service providers 

  • Dealing with external suppliers/service providers (office supplies, cleaning products, coffee, tea, etc.). 

  • Handling courier deliveries. 

  • Maintaining a tidy office and company image - coordinating and monitoring cleanliness in the office and company premises. 

  • Business travel management via Egencia and being a ‘go-to’ person for all travel questions 

  • Providing general support to visitors

  • Supporting employees with expense processing 

  • Participation in the organization of conferences, training courses and company events. 

  • Cooperation with archives 

Requirements 

  • 2+ years of experience in a similar position 

  • English language 

  • Independence and a proactiveness 

  • ‘No task is too big, no task too small’ attitude 

  • Impeccable manner and good communication skills 

  • Ability and willingness to learn. 

  • Good planning and organization of own work, multi-tasking. 

  • Experience with MS Office
