Job Description

The FxNA Operations Associate is a key resource in the delivery of FxNA programs to our students. This role supports multiple functions of our program/product delivery team, including email scheduling in our CRM (Infusionsoft Keap), coordinating dated email sends with Project Management systems (Asana), and conducting quality assurance processes to ensure accuracy of our program delivery. Additionally, this role gains an understanding of operational functions across the business, including sales and support, executing on tasks related to our CRM, reporting, and other FxNA systems and processes. These may include Zapier, Zoom, call center software, Wordpress, AWS and similar.

This is a unique opportunity to apprentice in all things operations at FxNA, with potential growth paths for a capable and motivated individual. Through technical competence and team collaboration, over time you will be invited also to identify and implement improved process operations, ultimately for improvement of our student and community experience.

  • Support fulfillment/delivery for FxNA programs, currently managed through Infusionsoft/Keap
    • Schedule emails based on dates established in Asana/project plans
    • Build/update email copy based on accepted changes in final copy docs
    • Send test emails to stakeholders for final approval
    • Coordinate QA processes for other business functions
    • Create documentation of processes as part of training
  • Send mass SMS to groups of contacts
  • QA weekly program membership access for all active student cohorts
  • Support technical operations of our student Message Board forums
  • Support technical aspects of Zoom Meetings and Webinars
  • Learn, monitor and support various automations in Zapier
  • Generate basic reports/data sets from our CRM
  • Develop and maintain cross functional relationships with program delivery, teaching, enrollment teams and operations
  • Support quality and smooth course delivery and successful student experience
  • Own/collaborate on special projects as needed

Requirements

  • CRM and marketing automation/email operations (Infusionsoft/Keap or similar)
  • Experience configuring, delivering, and supporting webinars (Zoom)
  • Experience with CRM systems (examples include Infusionsoft Keap, Hubspot, Salesforce, or similar)
  • Experience with Google Workspace and team collaboration tools
  • Experience with data reporting, pivot tables a plus
  • Ability to quickly become an expert in new software and technologies
  • Must be a self-starter, detail-oriented, and analytical with strong organizational skills
  • Effective and clear communication skills in a remote environment
  • Excellent time management, task prioritization, and ability to work within deadlines and with little supervision
  • Enjoy building out structured processes in an ever-changing dynamic environment
