Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well-being of artists and the communities to which they serve. Our new facilities house fabrication services, production services, production spaces, and member workshops for artisans.

We are seeking an experienced Operations Manager who will play a pivotal role in the development and implementation of Operations processes, protocols and procedures at Powerhouse Arts.  This role directly supports the work of the Operations Department and will take overall direction from the Operations Director, while working in a self-directed manner to manage projects and tasks. 

Areas of responsibility include:

Building Operations 

  • Act as direct support for the Operations team and Operations Director, to ensure a safe, functional, hospitable, and welcoming environment for Powerhouse Arts (PH) + tenant staff, visitors, and occupants; act as Operations Lead when Operations Director is not onsite 
  • Ensure smooth operations at Powerhouse Arts by updating protocols and communicating with staff, tenants, vendors including but not limited to updating building rules, developing signage, site directions, and shared space and equipment usage policies 
  • Provide administrative support for the cleaning, carting, security, and visitor services functions of the organization
  • Manage the incoming stream of mail + deliveries for the building.  Create processes for tracking incoming deliveries and pickups for PH staff and tenants.  Partner with Tech Services on system selection to track packages for building occupants. 
  • Venue Calendaring: Partner with Operations Director, Event Sales Director, and Community Engagements + Partnerships Director to enter data in an organized manner, publish reports, org wide calendars, and share information related to calendarized events. 
  • Coordinate with Executive Director, Operations Director, Gemini, the design team, subcontractors, and vendors on design issues and repairs 

Government and State Compliance 

  • Act as point person for compliance and filing of air and wastewater permits with DEP with support of consultants, including gathering data for applications, participating in the inspections, and liaising with department leads, tenants, and vendors
  • Coordinate with Roux Environmental on annual water and air sampling in compliance with the DEP/DEC 
  • Maintain compliance with FDNY by identifying Certificate of Fitness requirements for staff, tenants, and vendors 

Health & Safety 

  • Lead Health & Safety (H&S) Committee including creating policies and procedures for building staff and tenants to ensure healthy and safe working processes in all building spaces; maintain a log of all H&S requirements and committee activity  
  • Identify H+S needs for PH, that align with PH’s values and maintain regulatory compliance including but not limited to FDNY, DOB, OSHA, DEP, & DEC 
  • Continuously adapt and improve the organization’s master contingency plan document covering incidents including but not limited to sustained power loss, emergency building closures, fire, injury, elevator entrapment 
  • Coordinate with department leads to advance the development of H&S programs and protocols ; assist in H&S infrastructure or equipment upgrades 
  • Work with government and other agencies, consultants, and legal counsel, to address and resolve H&S issues 
  • Lead the trainer selection and scheduling for all of PH’s internal training, including but not limited to, CPR, AED, Ladder safety, Hazcom training, Respirator fit testing  
  • Act as the Hazcom and AED Administrator for the organization 
  • Work with industrial hygienists to perform analyses of equipment use, infrastructure, and personal exposure limits to chemicals on an as needed basis 
  • Maintain an inventory of organization wide health and safety consumables; coordinate chemical disposals and pickups for the organization. 

Procurement, Equipment Installation, and Commissioning 

  • Collaborate with Operations Director and Finance Director to project the annual budget for the department; support in tracking the operations department purchases using organizational tools to report purchases, such as Doclink, Nexonia, and tracking spreadsheets 
  • Lead budgeting, procurement, and coordination of delivery, installation, and commissioning of new, or replacement, equipment for PH workshop spaces, and general building FF+E 
  • Track, analyze, and recommend potential vendor bids, reviewing for accuracy and conformance to specifications, terms, discounts, and scheduling 
  • Coordinate with, and assist, tenants with the delivery, installation, and commissioning of equipment in leased spaces 
  • Work with design team, engineers, subcontractors, and vendors to arrange for MEP installation of workshop equipment 
  • Work with legal counsel to create contracts for specialized equipment purchases and generate scopes of work for relevant vendor contracts 
  • Work with insurance brokers to update Powerhouse-wide tiered insurance requirements when new vendor types are introduced 
  • Manage collection of approved vendor Certificates of Insurance 

Programming support 

  • Assist Events Production & Operations Director in scheduling and arranging FF&E set-up & breakdown for events hosted by Powerhouse, in the Grand Hall, Loft, Small Hall, Lobby/Cafe, & classrooms 
  • Collaborate with Powerhouse stakeholders to provide logistics, accessibility, and DOB/FDNY compliance support for Powerhouse Events and Client Events/Rentals

  • 5 or more years of proven success in an operations management role
  • Knowledge and experience in organization effectiveness and operations management
  • Passionate about the arts and Powerhouse’s mission.
  • Excellent communication and interpersonal skills required.
  • Strong organizational skills with the ability to prioritize required.
  • Strong attention to detail
  • Must be able to work in a collaborative team environment, but also independently as needed.
  • Flexible, creative, organized, thorough, and resourceful

Hours + Compensation: The schedule for this position is an 8-hour shift typically from 9-5pm. However due to the nature of the role,  flexibility to work on evenings and weekends is required. The salary for this position is $65,000-$80,000 annually. Benefits include health insurance, employer-sponsored retirement plan, generous paid vacation and PTO, a CitiBike membership, and TransitChek.
