About the Team & Role:
The Payroll Analyst is a person who will use their Payroll/Finance/HR knowledge to accurately administer payroll for the entire company, as well as assist in various accounting tasks. This role will be an integral part of the Finance team, closely partner with the People & Culture department, and be a key player in Abacus's future growth and scaling. As such, we are looking for an exemplary candidate who is a driven, detail-oriented go-getter and team player.
As Payroll Analyst, you will be responsible for all the payroll and accounting activities in multiple states; participate in the preparation, maintenance, processing, analysis, and auditing of manual and automated payroll data, information, records, reports; and prepare all substantiation. You will also be responsible for coordinating the timesheet collection process, ensuring accuracy in recording time, and various accounting activities such as assisting with processing accounts payable, employee expense reimbursements, and month-end close preparation.Â
You Will:
- Be responsible for reviewing and processing full-cycle bi-weekly for the complete employee base across multiple states
- Â Including benefits accumulations, wage garnishments, federal & state withholding rates (in accordance with federal and state policies), and setup of direct deposits
- Responsible for all payroll income tax setup in various states as needed
- Reconcile annual & quarterly tax filings with local, state, & federal agencies
- Process year-end W-2's taxable wage adjustments, 1099s, and 1095s
- Resolve federal, state, and local tax notices, and work with ADP and respective federal, state, and local tax departments
- Be the tax, unemployment, and workers' compensation go-to person for multiple states, ensuring payments, reporting, and compliance are up to date
- Maintain a solid understanding of all federal, state, and local payroll tax laws related to wages, garnishments, benefits, leave of absence, 401k, FSA, etc.Â
- Communicate with the Finance and People & Culture departments about any law and regulation changes related to payroll taxes and wage and hour legislation
- Responsible for creating pre/post-payroll reports for the Finance, People & Culture departments
- Including preparing and validating content in payroll GL files for entry into accounting software and resolving issues when necessary
- Maintain and track employee 401k & HSA contributions in payroll —reconciliation of payroll system and external systems to ensure deduction and contribution accuracy
- Assist Finance and People & Culture departments with unemployment claims and workers' compensation matters related to wages
- Assist Finance department with payroll budgeting, making changes in the payroll system as needed
- Partner with the People & Culture department to reconcile health insurance deductions and employee deduction changes
- Work with the Finance and People & Culture departments on all payroll matters with cross-functional impact, such as accurate benefit information, employee onboarding/offboarding processes, and other projects impacting payroll
- Administer timesheet/timecard system for usage such as timely entry, approvals, and submissions
- Create/update processes to improve the overall efficiency of the payroll department according to best practices
- Lead all internal and external communication related to payroll
- Work with the Finance department on special projects as needed
- Assist with accounts payable activities, including processing invoices, processing employee reimbursements, and managing the expense reporting system
- Various ad-hoc assignments
What we're looking for:
- 3-5+ years of payroll processing experience, with a minimum of 3 years experience in a multi-state payroll environment
- Advanced payroll software proficiency, specifically ADP WFN (Workforce Now)
- A degree in Accounting, Finance, or a related field is preferred but not required
- A Certified Payroll Professional (CPP) is preferred/highly desired
- Basic understanding of GAAP accounting
- Knowledge of applicable IRS laws and Federal/State/Local codes, regulations, policies, and procedures
- Knowledge of tax withholding, voluntary deductions, and employee benefits
- Maintain the strictest confidentiality of employee and employer information
- Advanced analytical, technical, and problem-solving skills
- Detail-oriented with the ability to set priorities, plan, organize, and accomplish tasks within strict deadlines, all while managing multiple projects
- Understands and analyzes the impact of changing priorities and balances resources appropriately
- Self-starter that works well with little supervision. Must be able to work independently and work as a team to problem solve.
- Must be a quick learner and able to adjust to a fast-paced, demanding environment
- Personal qualities of integrity, credibility, and dedication to Abacus' mission
- Proficient with MS Office Suite
- NetSuite experience is a plus
- Timesheet administration experience is a plus
