Job Description

The Project Coordinator serves as the main point of contact for all customer needs and inquiries. By acting as a liaison between the customer and Overseas Staffs, the Project Coordinator ensures that customers’ product requirements and service requirement are met.This individual will provide leadership and guidance to subordinate Project Coordinators and must speak Mandarin or Cantonese. Essential JOB DUTIES • Serve as primary point-of-contact for all customer needs, inquiries, and customer complaints. • Define project scope, goals, deliverables, and timelines in alignment with business objectives. • Full life cycle project coordinator role starting with initial customer contact through and including project completion. • Monitor the progress of customer orders from initial receipt through phases of production planning, manufacturing, and shipping phases, interacting with sales and production employees to ensure that orders are completed and shipped within the timetable established with the customers. • Report project progress, risks, and performance to senior management and stakeholders. • Focus on achieving on-time delivery, product quality, and total customer satisfaction. • Attend video conference meetings and contribute to planning and implementation of project goals and strategies; coordinate efforts between U.S. headquarter in California and overseas (China) project coordination team. • Serve as the “hub” when sending and receiving color proofs and CAD samples to/from the customer; visually inspect all samples and color proofs for any errors or flaws prior to sending them to customer. • Document customer complaints through established Nonconformance Reports; trouble-shoot and provide customers with prompt and effective problem-resolution, ensuring that senior management is aware of customer-related issues/problems that may occur during various phases of projects. • Research, learn, and understand the service history of customers to provide the best product and customer-service support. • Schedule the shipping of finished goods; coordinate timely delivery requirements with Shipping Coordinator. • Input customer information into our ERP system accurately and promptly. • Strive to continually improve customer satisfaction through improved internal processes, proactive customer service skills and prompt resolution of customer inquiries as well problems/complaints. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential job functions: • Proficient project management skills, effective at coordinating multiple facets of the business to meet deadlines. • Strong organizational, multi-tasking skills, analytical, and problem-solving skills. • Excellent oral and written communication skills (Bi-lingual a plus) and interpersonal skills with the ability to collaborate with cross functional teams. • Proficient math skills (addition, subtraction, multiplication, division, and decimals, in all units of measure). • Proficient computer skills and knowledge applicable to the job (i.e. Microsoft Word, Excel, Power-Point, Internet, e-mail), as well as proficiency in the use of in-house programs and applications. • Strong knowledge of production methods, systems, and continuous-improvements processes. • Ability to maintain a positive, professional, cooperative demeanor, conduct, and working relationship with peers, management, customers, and other individuals that interact with this position. • Excellent customer-service skills and the ability to handle multiple duties and assignments effectively and efficiently. • Bachelor’s degree in business or applicable field a plus. • Two (2) or more years of work experience in a fast-paced customer service or similar work environment; or • Any combination of experience, education, and training that will provide the level of knowledge, skills, and experience needed to successfully perform the job. PHYSICAL DEMANDS & WORKING CONDITIONS • Required to stand, walk, and sit for extended periods of time during course of work shift. • Required to regularly stoop, bend, kneel, lift, and reach, in the performance of this role. • Required the use of hands, speech and hearing, and use of feet to operate machinery/equipment; Agility to operate and frequently be exposed to moving mechanical parts. • Lifting requirements: 25-35 lbs.; and the ability to move/push up to 25 lbs. • The noise level in this work environment may be moderate to high. • Occasionally exposed to high, precarious places, fumes, or airborne particles, outside weather conditions. • PPE requirements: Regular use of safety glasses, standard ear plugs, masks, safety shoes, and gloves.
