Job Description
Overview:
This project-based role is responsible for managing the day-to-day administrative tasks related to the practice's relocation. The Project Manager will work closely with internal operations and external vendors to ensure a smooth and efficient transition to the new site.
Duties:
Project Planning & Task Management
• Assist in developing and maintaining the relocation project timeline.
• Track project milestones and maintain detailed records of progress.
• Organize and maintain documentation, contracts, and task checklists.
• New space buildout
Vendor & Logistics Coordination
• Coordinate with movers, utility providers, equipment installers, and furniture vendors.
• Schedule and confirm delivery and installation of supplies and equipment.
• Track and manage vendor invoices and service agreements.
Office Setup Support
• Assist with inventory tracking and packing coordination.
• Help manage the layout and set up of administrative areas in the new facility.
• Ensure readiness of administrative tools (phones, computers, office supplies, etc.)
• Moveout plan coordination with all departments.
Budget Tracking
• Monitor expenses related to the move and report discrepancies.
• Help manage and reconcile move-related budgets and payment schedules.
Requirements:
• Experience in office administration or project coordination, preferably in a medical or clinical setting
• Strong organizational and time-management skills
• Proficiency with Microsoft Office and project tracking tools (e.g., Excel, Smartsheet)
• Attention to detail and ability to manage multiple moving parts
• Familiarity with healthcare facility operations is a plus
Job Types: Full-time, Contract
Pay: $20,000.00 - $50,000.00 per year
