TheProposal Coordinator’sprimary goal is toprovide essential administrative support to the Proposals team, helping to ensure a smooth and organized workflow throughout the bid process. This role supports day-to-day tasks such as managing documentation, assisting with data entry, coordinating vendor information, and contributing to overall team efficiency.
By handling key logistical and administrative functions, this position allows the Proposals team to focus on strategic response development and client engagement—ultimately supporting the company’s broader sales initiatives and growth objectives. This position is a key role within Corporate Interiors, as bids are becoming a more and more prevalent means of awarding business in the commercial furniture industry. A successful person in the role will be comfortable interacting with the Sales Team and Senior Management internally as well as with external suppliers.
Essential Functions

• Request basis of design vendor quotes/information
• Ensure vendor responses are properly filed in the P Drive
• Audit vendor quotes against bid specs; list any differences/discrepancies in an email
• Reference Q&A responses as part of audit process
• Build and enter vendor quotes into Hedberg
• Ensure all Hedberg quotes reflect correct customer #, project folder, ship-to address, & tax code
• Submit Product Mix Reports to Steelcase rep for CDA
• Input new CDA information into Hedberg
• Request Delivery Planning Report for Steelcase products
• Update Vendor Matrix spreadsheet with the requested information (freight, lead time, etc)
• Take meeting minutes and distribute to all parties promptly after the meeting ends (can use AI)
• Assist with front-end tasks as needed, i.e., compiling vendor warranties, product cut sheets, etc
• Assist in updating databases such as the Manufacturer Rep Index or logging CDA information (as needed)
• Other duties as assignedRequirements:
Required Qualifications
• High School Diploma/GED.
• Superior interpersonal and collaborative skills.
• Must be independent, take initiative, and be self-motivated,
• Must be able to lead a process and effectively manage multiple, firm deadlines in a busy environment,
• Excellent problem solving, administrative, organizational skills.
• Highly detail oriented, and able to multitask/cross-function.
• Strong communication skills, both written and verbally, to effectively liaise with all departments within company, and sometimes the client.
• High le vel of proficiency in software programs as Microsoft Excel (Pivot Tables, V-lookups required), Access, and Crystal Reporting.
• Preferred experience in the contract furniture industry with excellent furniture product knowledge.
