Job Description:
Position Summary:
To provide support to the legal department and corporation in the areas of record retention and compliance.
Primary Responsibilities:
- Monitor the retention and disposition of company records based on applicable business and legal requirements.
- Support development and implementation of records management policies and procedures.
- Provide documentation control and prepare compliance reports.
- Develop a strong knowledge of corporate records policies and assist with the interpretation and enforcement of policies as directed.
- Ensure that confidential and sensitive information is handled appropriately.
- Work closely with other departments to ensure user records are managed correctly, as well as to provide recommendations on file organization and records procedures.
- Review retention schedules and assist other departments with compliance procedures.
- Serve as the liaison between the legal department and other company departments on records inquiries.
- Other duties as assigned.
Position Demands:
- Job Knowledge and Skill: Working knowledge of electronic data management practices and electronic filing systems gained through prior experience, including complex file setup, reorganization, retention policies, retrieval requests, record transfers and specialized support activities.Â
- Additional Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.) and Adobe Acrobat; excellent computer skills, written and oral communication skills, exceptional attention to detail and deadlines; ability to work independently, stay organized, and prioritize multiple tasks; flexibility to adapt to current and future responsibilities, as well as the willingness to expand responsibilities as needed.
- Experience: At least 5 years of experience with document retention in a corporate or legal environment is preferred.
- Education: Candidates with a Bachelor’s Degree from a four-year college or university are preferred; equivalent combination of education, training and experience may substitute for education requirement.
- Travel: minimal day or overnight travel
How You'll Do It:
- Complying with records retention and compliance for International, National and State laws and regulations relating to all company industries, including but not limited to ISO, ISMS, ANSI, CFR and IATF.
- Complying with all Company policies and procedures, safety regulations, company safety policies and safely perform all duties, including but not limited to, promoting a safe workplace.Â
- Maintaining high level of honesty, integrity and confidentiality with respect to company matters.Â
Working Relationships: This position reports to the Product Compliance Manager in the Legal Department tasked with corporate compliance, and will work closely with the legal and information technology departments and other departments.Â
