Immediate Supervisor:Clinic Office manager Responsibilities: • Assure that exams rooms remain in a neat and clean fashion. The decontamination log must be maintained for each room. Responsible for disinfection of each exam room and patient traffic area. • Assist in ordering any needed supplies for exam rooms, office procedures, and stock supplies upon receipt. • Assist with performing surgery confirmations daily and preparing the surgical charts and bags for physicians. • Assist with preparing surgical charts for the following week. Ensure all pre-operative paperwork and consent forms are complete prior to patient surgery. Ensure all pre-operative lab work and medical clearance has been obtained, directed to the Provider’s PAQ, and approved prior to surgery. Review abnormal values with physicians as soon as possible. Any missing information should be located, requested from the hospital directly, and forwarded to the physician of record for authorization. • Perform patient initial H&P workup in EMR via phone chart abstraction and patient records. • Perform out-of-state patient phone abstractions and review chart with physician in a timely fashion to determine surgical candidacy. • Update patients’ charts in EMR for medications and medical history as needed with subsequent visits. • Assist patients with standard dressing changes and wound care regimens as needed. • Perform routine post-operative patient appointments and enter them in EMR. • Complete EMR encounters for every patient encounter. • Ensure nursing schedules are blocked when monthly templates are opened. • Assist in clinic or office procedures with your respective physician or another physician whose nurse may be unavailable. • Trafficking coordination for office clinics; to include scribing, thorough workup and chart abstraction into EMR for existing and new patients. • Screen patient phone calls for physicians and return calls as directed, logging all necessary calls in EMR. Voicemails should be returned by the end of day if possible. • Conduct patient education and pre-operative appointments in the office or via phone at the direction of the physicians and logging such encounters in EMR. • Submit preoperative medications to patient preferred pharmacy per ERAS protocol or physician discretion, acknowledging patient allergies. • Complete surgeon specific preoperative orders, consents, and prescriptions. • Document all patient appointments and phone calls in patient’s EMR chart in accordance to clinic protocol. • Convert scheduled appointments from in office to virtual as needed. • Review requests for prescription refills in conjunction with medical records prior to requesting physician approval. • Log all patient prescriptions in the patient’s EMR chart and transmit electronically, call in, or fax from within the EMR. • Maintain and follow up on tasks for outstanding lab, x-ray, and pathology reports. • Sterilize instruments according to OSHA and CDC guidelines daily. Run autoclave spore test monthly. • Monitor and dispose of sharps and biohazards. • Perform Fire Extinguisher checks according to OSHA guidelines monthly. • Maintain refrigerator temperature logs according to OSHA guidelines. • Perform weekly eyewash station flush and maintain log according to OSHA guidelines. • Maintain inventory of all garments and medical supplies. • Maintain and order supplies and equipment for micro-pigmentation procedures as needed. • Designated nurses to perform micro-pigmentation procedures (upon completion of training) and complete procedure report in the EMR. • Perform weight checks and nicotine tests. • On a weekly basis per protocol, obtain, download, categorize, and file pre and post operative photographs in the patient’s EMR. • Ensure all FMLA, short term disability, and return to work paperwork for surgical patients is completed within seven (7) days of receipt. • Track all operative and post-operative complications in the physicians’ complication logs. • Maintain a current nursing license and CPR certification. • Update and maintain patient consent forms, office protocols, and post-operative instruction sheets. • Designated clinical staff shall order all implants, FlexHD, tissue expanders, etc. and ensure all returns are completed within the 30-day deadline. • Maintain clinical staff schedules and adjust according to vacation requests and/or physician schedules. • Review schedules for each respective physician and adjust patient appointment times and or appointments accordingly. • Update Master Tracker of findings pertinent to the nursing department. • Provide assistance for QI meetings to providers as needed • Request Authorizations and send orders for all Radiology procedures • Initiate referrals to general surgeons as well as home health and wound care services as necessary • Administer flu vaccine and TB tests to clinic staff. • Check and respond to patient portal messages. Qualifications: • Required- High School Diploma or GED • Required– Current RN Nursing License and CPR Certification • Required– Travel between Huebner and Stone Oak clinic locations as needed for clinic coverage • Preferred – Bilingual • Ability to multitask and balance multiple projects, and tasks at a time Job Type: Full-time Pay: $72,000.00 - $78,000.00 per year Benefits: • 401(k) • 401(k) matching • Dental insurance • Employee assistance program • Health insurance • Life insurance • Paid time off • Referral program • Retirement plan • Vision insurance Language: • Spanish (Required) Work Location: In person
