Job Description

We are seeking a detail-oriented and proactive Sales Operations Administrator and Quoting Specialist to join our team in the EMEA region. The ideal candidate will be responsible for supporting sales operations and managing the quoting process to ensure accuracy and efficiency. Administrators also provide a point of contact for customers with queries about orders. An efficient sales support administrator contributes to quality customer service and helps the sales team meet its targets.

Administrators require good organizational skills to coordinate all aspects of sales administration. They must be able to work accurately and with great attention to detail so that they process orders quickly and efficiently. They must also be good communicators, working with other departments that are responsible for fulfilling orders or providing service to customers. Administrators require good clerical skills, together with computing and data entry skills.

Responsibilities:

  • Provide frontline support for Sales Leadership.
  • Support the sales team with administrative tasks such as data entry, report generation, and CRM maintenance.
  • Manage the end-to-end quoting process, including gathering requirements, pricing analysis, and preparing quotes for customers.
  • Collaborate with sales, finance, and product teams to ensure accurate and timely quoting and pricing information.
  • Monitor and analyze sales data to identify trends and provide insights for optimizing the quoting process.
  • Act as a liaison between sales representatives and internal departments to resolve any quoting-related issues.
  • Execute and create supporting marketing/business development responses to formal RFP's/RFI's, white papers - Marketing to assist with templates and tracking deliverables from contributors
  • Maintain a library of communication materials, letters, proposal responses, company information, biographies, client lists, award, client references, sales discovery documents, sales checklists, SOW's, Scopes of work, etc.
  • Provide sales and marketing support in any way needed for targeted opportunities, such as preparing presentations and presentation materials, and conducting supporting research on clients and prospects.
  • Responsible for SalesForce activities
  • Training updates
  • Quotes/orders for sales management- Might require calling on new customers to request CSR's or additional information to process order
  • Organizing training programs to increase job knowledge of sales reps and enhance their skills.
  • Utilize CRM tools in managing business transactions with various clients
  • Contact clients where needed to provide quotes, proposals and assist to close sales deals

Skills/Qualifications

  • Bachelor's degree in Business Administration, Finance, or related field.
  • Proven experience in sales operations, quoting, or related administrative roles.
  • Strong analytical skills with the ability to interpret sales data and provide actionable recommendations.
  • Proficiency in CRM software (e.g., Salesforce) and Microsoft Office suite.
  • Excellent communication and interpersonal skills.
  • 3+ years of related experience (preferably within the UCaaS industry).
  • SalesForce experience preferred
  • Knowledge of Microsoft Office products required
  • Self-motivated and self-starter
  • Ability to effectively handle multiple tasks
  • Detail oriented, organized and has strong time management skills
  • Team player, works well with both internal and external customers
