Job Description

We are seeking a detail-oriented and motivated Sales Administrator to support our sales team at Wallingford on a 9 month Fixed Term Contract. The Sales Administrator will be responsible for ensuring smooth and efficient operations within the sales department, managing customer inquiries, processing orders, and providing exceptional customer service. 

  • Daily production of stock queries/stock at risk reports to identify potential shortages
  • Notifying customers and NAMs regarding upcoming shortages using above report
  • Weekly meetings with production/planning representative regarding bulk curd and sauces SKU’s to ensure customer lead times are met
  • Order processing for all Valeo Foods brands received via EDI, email and phone using IFS system (cover required from 13:30-17:00)
  • Liaising with 3rd party warehouses regarding issues with orders and deliveries.
  • Invoicing of products held in and supplied from other warehouses (e.g. Balconi) using IFS system and external customer portals.
  • Use of external systems (e.g. warehouse portals and delivery tracking sites) to monitor deliveries and deal with any issues
  • Communicate with customers in a timely manner regarding delayed or short deliveries to ensure they get the best possible service
  • Use of different customer portals to confirm orders, send invoices and book in deliveries
  • Deal with customer queries
  • Assist the Sales Admin Team with all aspects of order management and customer service
  • Provide administrative support to Sales Account Managers when required

Qualifications

  • Excellent communication and data entry skills
  • Methodical approach to work, high level of attention to detail and problem solving skills
  • Working knowledge of Microsoft Excel, Outlook and Word an advantage.
  • Good organisational skills
  • Good written and spoken English due to being a customer facing role.
  • Friendly and outgoing personality
  • Team player
  • Ability and confidence to work independently (role likely to include some working from the office and some working remotely)
