Job Description A DAY IN THE LIFE • Entry and maintenance of orders in our internal booking and transport software • Review and allocation of incoming invoices from our suppliers (couriers, airlines, handling agents, etc.) • Coordination with the accounting department in London and New York to ensure proper invoice approval and timely payment • Processing and responding to queries and clarifications with our suppliers (e.g., in the event of discrepancies or missing information) • Tracking missing supplier invoices and maintaining corresponding overviews • Support with month-end closing, e.g., by preparing accounting-relevant data • Support of the operational team (e.g., tracking orders, booking airline tickets, hotels, etc.) • Maintenance and updating of supplier and customer master data • Archiving and filing of order-related documents • Support in adhering to internal compliance and quality guidelines Qualifications WHAT DO WE LOOK FOR • Previous experience in an administrative role • Outstanding written and verbal communication skills • Excellent phone etiquette • Willing to learn and adaptable • Able to prioritize effectively • Well-organized • High attention to detail • Proficiency in the Microsoft Suite • Fluent in Spanish is a plus!
