Job Purpose:
This role is responsible for performing and overseeing all administrative-related services for the Global Head of Development and Global Development Leadership Team. This position requires a broad knowledge of corporate operations and policy, overall pharmaceutical industry drug development administration, and good clinical practice. A high level of administrative support and advanced computer technology experience is also required. The ability to multi-task, manage projects and perform without supervision is essential and this role operates with discretion and great latitude for independent judgment and initiative.
Key Responsibilities:
- Providing general administrative support and organizational assistance to the Global HD’s Department including calendar management, travel arrangements (both domestic and international) and arrangements for registration and attendance at industry events.
- Ensuring memberships to organizations and societies are current.
- Responsible for both on-site and off-site meeting execution.
- Preparing and managing all expense reports for the Global HD and delegated members of GDO.
- Preparing project scheduling, PowerPoint presentations, and statistical reports as required.
- Supporting annual budget preparation and oversight for the department.
- Handling general telephone/e-mail inquiries to department(s) and field/answer all routine and non-routine questions. Capable of identifying urgent activities, e.g. Adverse Events reports and Investigator calls.
- Performing duties necessary in making arrangements for company attendance at select annual industry meetings, including contracting for block room housing (providing housing for attendees from the general company) and also assisting in all aspects of event planning for special meetings at the annual functions.
- Managing expense reports and budgets related to these events.
- Suggesting and driving improvement and design processes to enhance workflow.
- Responsible for ordering specific purchases of materials for employee enrichment/education as requested by Global HD.
- Working closely with the GDO executive office supporting de functioning of GDO globally, coordinating special activities and participating in relevant meetings.
- Other duties as assigned.
Position Requirements:
- A High School Diploma or GED required. Business school, Associate’s degree or equivalent is a plus. CPS or CAP certification a plus.
- A minimum of 10 years in a corporate environment. Experience in Pharmaceutical industry and knowledge of GCP preferred. Familiarity with budgetary tracking/accounting systems a plus.
- Proficiency in MS Office Suite.
- Highly motivated and great attention to detail
- Strong endurance to work under tight timelines and complex/changing situations.
- Excellent written and oral communication skills.
- Excellent problem-solving skills.
- Broad level of interpersonal skills and flexibility.
- Cultural sensitivity and ability to develop consensus within a multinational organization.
Physical Requirements:
- Will travel up to 5% of the time locally
- Normal office environment with prolonged sitting and extensive computer work
