We work primarily with federal clients—including the Department of Veterans Affairs, Department of Defense, Federal Communications Commission, and Department of the Interior—while also serving select state, local, and private-sector clients. We are seeking a Staff Accountant to support our accounting and finance operations, with a focus on accuracy, efficiency, and compliance. The ideal candidate is detail-oriented, organized, and proactive, with experience in accounts payable, accounts receivable, reconciliations, and job cost tracking. Position Summary The Staff Accountant is responsible for supporting the company’s financial operations by maintaining accurate accounting records, performing general ledger duties, and assisting with project-related financial tracking. Working in a small business environment, this role is hands-on and collaborative—covering functions such as accounts payable, accounts receivable, job cost tracking, reconciliations, and compliance reporting. The Staff Accountant plays a key role in ensuring the accuracy and integrity of financial information for construction and design projects serving federal clients. Key Responsibilities General Accounting · Utilize UNANET (GovCon and AEC cloud-based accounting software) and other existing company software tools in the performance of financial duties. · Prepare and post journal entries to the general ledger. Review general ledger activity for accuracy and necessary reclassifications. · Maintain and reconcile balance sheet and income statement accounts. · Assist with month-end and year-end close processes. (currently supported by outsourced accounting service) · Support preparation of financial statements in accordance with GAAP. · Review monthly bank reconciliations, daily bank balances, and cash flow. · Work with leadership to develop labor and overhead rates. Project & Job Cost Accounting · Work with Construction and Design PMs to setup project level financials in UNANET, establish project level metrics and monitoring, assist PMs with monitoring and reporting. · Assist with development of monthly financial actions in support of company projects (PC’s, REA, Claims, etc.). · Set up new projects in the accounting system with accurate coding for labor, materials, and subcontractor costs. · Monitor project expenses and ensure proper allocation to jobs. · Assist with producing Work-in-Progress (WIP) reports and project profitability analysis. · Conduct monthly project financial reviews. · Work with project managers and leadership to mitigate project financial risks. Accounts Payable & Accounts Receivable · Process vendor invoices, verify against purchase orders or contracts, and ensure proper approvals. · Prepare and send client invoices in compliance with contract requirements (including federal client specifications). · Record and apply customer payments · Prepare monthly accounts receivable aging report; follow up on past-due accounts when needed. · Reconcile vendor statements and resolve billing discrepancies. Compliance & Reporting · Assist in preparing documentation for audits, tax filings, and federal contract compliance requirements. · Maintain organized and complete records for federal contracts, including labor compliance, certified payroll (if applicable), and subcontractor documentation. · Support preparation of reports for management and government agencies as required. · Analyze results of financial statements and significant variances in budget. Use allocation spreadsheets and trial balances to forecast future events and compares these results with the budgeted figures. Team Collaboration · Work closely with project managers, operations, and leadership to ensure financial accuracy on all bids and jobs. · Provide support to the CEO on special projects and process improvements, · Work with the CEO to produce financial statements and other reports and organizes and prepares for various finance and budget meetings. Qualifications Education & Experience · Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred. · Minimum of 7 years of accounting experience; construction or A/E (architecture/engineering) industry experience strongly preferred. · Experience with job cost accounting and project-based billing is a plus. · Experience with fixed-price and cost-type project accounting is preferred. · Familiarity with federal contract requirements (e.g., FAR, DFARS) is an advantage. Skills & Competencies · Proficiency in UNANET or other ERP (e.g. Deltek) and Microsoft Office Suite. · Strong attention to detail and organizational skills. · Ability to work independently in a small business environment while managing multiple priorities. · Solid understanding of GAAP and basic cost accounting principles. · Strong interpersonal and communication skills for collaboration across departments. · Commitment to maintaining confidentiality and data integrity. Work Environment & Physical Requirements · This position is primarily office-based in a professional business environment. · Regular use of standard office equipment, such as computers, phones, photocopiers, and filing systems. · Prolonged periods of sitting at a desk and working on a computer are required. · Must be able to lift up to 15 pounds occasionally (e.g., moving files, office supplies, or financial binders). · May require occasional extended hours during peak periods such as month-end and year-end close, audits, or project deadlines. · Minimal travel may be required for training, team meetings, or company-related events.
