Summary As an Executive Assistant, you will provide high level executive administrative support and provide a wide variety of technical and non-technical work to fully support the Executive Director. The Executive Assistant acts in a confidential capacity and performs specialized duties with responsibility for processes, projects, questions, and problems within the Office of the Executive Director. Duties The following are the duties of this position at the GS-12. If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties and will receive training to help you grow in this position. Participate in the highly visible activities of the Board, particularly the periodic Board meetings. Coordinates the agenda for each meeting and oversees preparation of all materials associated with planned agenda items. Materials include such information as current rule making activities, project status reports and memos, contracts, and budget items. Consolidates materials into easily used workbook formats. Gives consideration to the individual preferences of the Board Members and customizes agenda materials upon request. Coordinate and schedule meetings, conferences, and appointments. These meetings, conferences and appointments may be virtual or on-site. Makes necessary arrangements such as location, time, contacting participants, and ensuring all required materials are provided. Informs requestor of conflicts, reschedules appointments when it is clear that all parties will not be able to make all commitments, and contacts other people to attend meetings when necessary. Accompany the Executive Director to internal and external meetings and events; records meeting minutes and provides executive and administrative support. Documents and follows-up on action items resulting from each meeting keeping the Executive Director informed of progress. Qualifications You must meet the following requirements by the closing date of this announcement. Specialized Experience: For the GS-11, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-09 grade level in the Federal service. Specialized Experience for this position includes: Coordinating and planning administrative functions such as troubleshooting office support issues, scheduling meetings and conferences, controlling correspondence, and appointment calendars for management; AND Researching and interpreting information needed to prepare reports and responding to requests for information. OR Education: You may substitute education for specialized experience as follows: Ph.D. or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree or LL.M., if related. OR Combination: You may qualify with a combination of experience and education. To combine education and experience, your total qualifying experience is calculated as a percentage of the experience required for the grade level. Then, your education is calculated as a percentage of the education required for the grade level. The two percentages are added together. The total percentage must equal at least 100 percent to qualify for that grade level. Only graduate level education in excess of the first 36 semester hours (54 quarter hours) may be combined to be considered for qualifying education. The experience may have been gained in either the public, private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis.
