Summary
The Program Support Assistant (PSA) provides administrative support for the Associate Chief of Staff for Research (ACOS) and the Administrative Officer (AO) for Research and Development. This position is located at the John D Dingell VA Medical Center in Detroit, MI.

Duties

Duties include, but may not be limited to the following:
Organizing and maintaining databases related to employee data, credentialing documentation, training and onboarding/offboarding processes.
Planning and coordinating a variety of organizational activities, events and meetings as well as scheduling appointments for organizational leadership.
Serves as the primary point of contact for research administrative matters, ensuring follow-through requests and coordination of problem resolution as needed.
Provides guidance to research personnel on resources, regulations, procedures and deadlines regarding personnel processing activities.
Interacts with a variety of customers in a courteous, tactful and respectful manner and handles conflict constructively.
Aids in acquiring supplies, equipment and services to meet the purchase, rental or lease needs of the organization.
Assists in equipment management by coordinating inventory checks, equipment turn-ins and tracking of equipment transfers.
Provides support in the management of space utilization, procurement and contracting services, property management and engineering (equipment/facilities) concerns.
Researches and maintains service-level policies and standard operating procedures, ensure these are consistent with regulatory requirements and aid in updates to these regulatory materials upon guidance changes.
Develops and maintains record keeping systems and procedures. Utilizes electronic software/databases for local site documentation of administrative study-related duties.
Processes employee paperwork, human-resource related activities, research lab access and new employee orientation.
Contributes to the timely submission of application submission by research personnel by tracking and monitoring communication, providing guidance in completing forms and addressing processing delays.
Collection, compilation and tracking of data in support of the organization's program operations, providing quality control checks and generating reports.
Develops and provides routine and special reports as well as manage, administer and assure the accuracy, security and maintenance of database system operations.
Performs other duties as assigned.
Work Schedule: Full time, Monday - Friday 8:00 am - 4:30 pm

Qualifications
To qualify for this position at the GS-7 grade level, you must meet the following requirement:
SPECIALIZED EXPERIENCE: You must have one full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal service that has equipped you with the particular knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience is working in a health services research environment coordinating the day-to-day administrative activities of the office; performing or overseeing human resources related activities; utilizing various automation software and databases; entering data; organizing and maintaining databases, accurate records, documents and files; preparing a variety of forms, reports and correspondence; and maintaining program office calendars, scheduling, arranging meetings, travel arrangements/accommodations and timekeeping. Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hour worked per week.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably at a desk to work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts, etc. Manual dexterity is required for operating office equipment. Typing and computer operation may involve long periods of hand and wrist movement. No special physical demands are required to perform the work.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
