Summary This position is located at the Central Iowa VA Medical Center (VAMC) in the Executive Office. The primary purpose of the position is to function as the primary secretary to one of the Executive Management Team (EMT/Quad) members and the Administrative Officer. Learn more about this agency Duties ***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities include: Developing performance standards, executing performance evaluations, planning and assigning work, determining priorities, providing technical guidance, determining training needs, and arranging for training for subordinate staff. Maintaining subject matter files and record keeping system. Managing the flow of correspondence to ensure proper routing, concurrence, and complete submittal of information. Preparing consolidated reports for management review. Tracking various administrative reports, statistics, and employee training. Establishing work priorities and ensuring completion in a timely manner while balancing the multiple competing priorities and deadlines for the executive office. Independently managing and prioritizing workload and workflow to meet established office goals and deadlines. Reviewing correspondence and documents to ensure compliance with format guidelines, and policies of the facility, while also ensuring consistency with grammar, punctuation, and spelling. Composing correspondence, reports, memorandum, and other forms of written communications. Responding to customer inquiries via all communications modalities (email, telephone, or in person). Performing accurate and timely entries for employee timecards. Developing and maintaining work processes to track the status of actions, suspense items, and correspondence. Scheduling and managing Microsoft Outlook calendar, which involves coordinating meetings, events and making travel arrangements. Working in a setting involving individuals from diverse and varied backgrounds. Performing other duties as assigned. Qualifications IN ORDER TO QUALIFY FOR THIS POSTION YOU MUST MEET THE FOLLOWING REQUIREMENTS: TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. ~AND~ SPECIALIZED EXPERIENCE: You must possess one (1) year of specialized experience equivalent to the GS-6 level in the Federal service, that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Secretary (Office Automation) position to be filled? Specialized experience includes managing multiple calendars; screening calls and visitors; utilizing Microsoft Office Suite to create a variety of documents and reports; tracking suspense items; coordinating travel arrangements.
