Account Resolution Specialist II
Job Description
The AR Specialist II is a key role, interacting with various Werner departments as well as customers and their administrative partners. It is a great opportunity to learn about Werner and the transportation industry. The primary responsibility, utilizing the job functions and skills listed below, is to facilitate the resolution of issues that are getting in the customer's way of finalizing payment for their freight services.
Essential Job Functions
- Cultivate valuable relationships with various internal and external contacts.
- Maintain a current knowledge of Werner billing practices and the various systems that are used by Werner and their customers.
- Manage small to medium sized customers.
- Address inquiries regarding invoices and documents via email, phone, meetings, reports, etc.
- Create aging reports and pivot tables for various uses and stakeholders on a daily basis.
- Maintain aging reports with notes to keep track of issues and progress.
- Submit requested invoices and documentation through various channels (TMS software, mail, email, etc.)
- Use various tools and critical thinking skills, perform analysis of unpaid invoices to accurately identify issues and root causes.
- Communicate problems impacting billing and payment to management and other appropriate internal and external stakeholders; escalating as needed.
- Maintain accurate and appropriate account documentation in all relevant systems.
- Monitor invoice and payment status utilizing customer portals and their third party TMS partner systems.
- Provide daily assistance to the payment posting team to obtain remittance information for accurate payment posting, utilizing various resources, systems and methods.
- Provide daily assistance to the credit department to assist customers in getting up to date and released from credit hold.
Knowledge, Skills, and Abilities
- Must demonstrate critical thinking, problems solving, initiative and resourcefulness.
- Ability to define problems, collect data, establish facts and draw conclusions is essential.
- Strong verbal and written communication skills.
- Commitment to taking responsibility for learning by taking notes, asking questions, organizing information and exercising initiative to seek out the knowledge needed to excel in the position.
- Ability and patience to learn numerous (15+) computer systems; internal Werner as well as external customer systems.
- Electronic organization is critical to the success of the AR Specialist II.
- Adaptable to changing procedures, priorities, assignments, etc.
- Intermediate Excel skills.
- Proficient with Outlook.
Education and Experience
- High School Diploma or equivalent is required.
- Associates or Bachelors preferred.
- Minimum 3 years' experience analyzing issues that impede the payment of customer accounts and facilitating the resolution of those issues.
- Transportation Industry, especially billing or accounts receivable, highly desirable.
