Job Summary

The Accounting/ARC Specialist will support our Air & Hotel department by engaging in all aspects of the department's accounting process which includes preparing the weekly ARC report, researching debit and credit memos, preparing variance explanations, working on travel and hotel account reconciliations, and following up to resolve issues as necessary. This role works in conjunction with other finance and Ritz Carlton Yacht Collection business teams as required to set up internal air and hotel reporting.

Essential Functions

  • Prepares and submits the weekly Airline Reporting Corporation (ARC) report for each ship.
  • Maintains the Non-refundable Ticket database.
  • Processes weekly ARC reports and hotel reconciliations and invoicing.
  • Processes refunds, and voids; calculates full and partial refunds, penalty tickets, and ticket exchanges.
  • Interface with back-office account system (Trams).
  • Run standard and ad-hoc reporting as needed for Corporate, Guest and Ship Crew Travel.
  • Research Debit memos and provide coaching and feedback to front-line employees; maintain the Debit memo records.
  • Develop and maintain positive working relationships with various departments & shipboard personnel and adhere to company policy and department guidelines regarding attendance & phone adherence
  • Perform other job-related functions as assigned.

Competency

Education:

  • Minimum high school diploma; Bachelor's degree in business administration, Marketing, or related field of study preferred; or any equivalent combination of relevant background and/or industry-related experience

Experience:

  • Minimum of one (1) year of travel agency, ARC, or accounting experience

Skills

  • Must have basic accounting knowledge and experience with account reconciliations, variances, and reporting
  • Current or past ARC certification preferred
  • Basic Sabre and/or GDS experience required
  • TRAMS Back Office experience preferred
  • Outstanding communication (written and verbal) and interpersonal skills
  • Results-oriented and strong decision-making skills with the ability to prioritize multiple tasks while meeting company objectives
  • Proficient in MS Office applications, including Excel and Word
  • Must commit to delivering a high level of customer service across all departments and organization
  • Ability to learn and understand policies & procedures for Reservations & Special Services
  • Ability to understand and organize data in a clear, concise manner
  • Maintains positive, pleasant behavior while engaging customers & colleagues

Work Environment

  • On-Site, corporate office based
  • Full-time (40-hour work week) subject to scheduled activity including possible evenings and weekend
