Accounts Receivable Operations Specialist
Job Description
The Accounts Receivable Operations Specialist will coordinate and control the general operations of the Accounts Receivable unit and perform critical functions to ensure receipts are processed in support of corporate service standards. Assist with ensuring that payment processing controls are being adhered to and research receipts and provide feedback to business areas regarding remittance inquiries.
This position is responsible for the processing and deposit of all corporate paper receipts and accountable for verifying all corporate receipts (paper and electronic) deposited were accurately recorded by the receiving line systems. Ensure control processes for Cash Received and Manual Load requests are adhered to and actively participates in both internal and external audit processes. Customer facing department; team member must be available to work overtime, holidays and early office closings supporting our corporate culture.
Responsibilities
- Coordinate and control the processing functions of the operation guaranteeing policy, contract and miscellaneous receipt records are posted and monies are deposited utilizing online, real time ExpertRPS system application
- Ensures all rejected items from Opex/ExpertRPS have been researched, resolved and exceptions documented for control purposes
- Generate end of day report, verify all processes are in balance
- Generate and deposit all checks processed in Opex/ExpertRPS
- Generate and upload to Remittance all payment and contribution transactions processed in Opex/ExpertRPS
- Verify paper and electronic payments and contributions have been recorded to the line systems and are in balance; effectively communicate out of balance conditions
- Understand and apply basic accounting; review and release General Ledger and Cash Ledger accounting entries and comply with accounting cut-off dates
- Apply knowledge to identify and process items in the Online Banking application including any Returns or Reversals
- Analyze and process monies transferred to Horace Mann from Group Lockbox
- Research, document and coordinate resolution of bank adjustments
- Capable of performing in all positions of the Accounts Receivable Unit and conduct initial and continuous cross training of all positions
- Participate in and support internal and external audits
- Interacts in a cooperative and professional manner with all levels of employees, customers and vendors in person, on phone, email and written correspondence
- Identify and responsibly and effectively communicate equipment/system problems to management
- In backup capacity, verify and release totals for ACH Property &Casualty new business and SAW payments/contributions and Exclusive Agent and Annuity disbursements
- In backup capacity, perform quality review of transactions processed and correct errors identified daily
- Performs miscellaneous assignments from management; support division and corporate initiatives
- Accounts Receivable is a customer facing unit and will be required to work overtime (approximately 6-8 hours monthly), holidays and early office closings as business needs require
Requirements
- High school diploma or equivalent; Associates Degree preferred
- Minimum of 8,000 - 10,000 KPH with maximum of 5% error rate
- Three to four years successful work experience in an accounts receivable area desired or equivalent operations/office work experience required
- Banking/financial services experience highly preferred
- Must be able to work additional/overtime hours as necessary
- General knowledge of accounting principles and bookkeeping
