The Accounts Receivable Administrator will ensure the company receives payment for services provided, and will perform all recurring tasks as it relates to the Accounts Receivable (AR) process.

ESSENTIAL JOB SKILLS/DUTIES:  

  • Prepare, post, verify and record customer payments and transactions related to Accounts Receivable
  • Create and verify customer invoices, and process customer payments in Accounting system
  • Ensure accurate and timely management of accounting records
  • Ensure payment policy and accounts receivable guidelines are followed
  • Coordinate with appropriate departments to secure proper payment from customers
  • Reconcile customer payments, research and correct discrepancies
  • Research past due balances, and handle collections by contacting clients to secure timely payment of open invoices
  • Respond to all customer and contract inquiries regarding invoices, account history and payment status 
  • Research and allocate customer payments as needed and prepare refunds for overpayments
  • Monitor aging to ensure accounts are paid within agreed upon terms and report status to management
  • Enter notes on customer accounts to track payment status
  • Run reports, review purchase orders, and return authorizations
  • Provide supporting documentation for audits and testing
  • Monitor group email boxes and coordinate with team members to ensure prompt resolution of requests
  • Interface with team members, functional departments, management, and customers
  • Provide excellent customer service to external and internal contacts
  • Adhere to all corporate policies and procedures
  • All other duties as assigned

 

QUALIFICATIONS:

  • Knowledge of Business, Finance and Accounting practices
  • Knowledge of standard Accounting policies and procedures
  • Knowledge of different types of Accounting and AR/AP software systems
  • Demonstrated ability to work well independently, and collaboratively within a team environment
  • Adherence to tight deadlines and quick turnaround for accounting deliverables
  • Ability to multi-task, and ensure tasks are completed thoroughly and correctly
  • Strong analytical and technical problem-solving skills
  • Outstanding organizational skills, with meticulous attention to detail
  • Strong interpersonal skills, with the ability to effectively communicate with all levels of management, employees, and customers
  • Excellent verbal and written communication skills
  • General computer skills
  • Intermediate proficiency in Microsoft Office (Word, Excel, Outlook)

EDUCATION AND EXPERIENCE:

Required Education and Experience

  • High School Education or Equivalent
  • 2 Years of Relative Accounting or Accounts Receivable Experience
  • Prior Experience working with Collections/Data Entry in an Office Environment

Preferred Education and Experience

  • Associate’s or Bachelor’s Degree in Accounting, Business Administration, or Equivalent
  • 3+ Years of Relative Accounting or Accounts Payable Experience
