Accounts Receivable Supervisor
General Summary:
Supervise daily customer collections and payment application. Other responsibilities include researching invoicing/payment issues, acting as a liaison between Accounts Receivable and Customer Contracts, integrating new business units and processes, and assisting the Accounting Manager in various ad-hoc projects as needed.
Key Responsibilities and duties
- Supervise day-to-day collections activities performed by Accounts Receivable Specialists
- Reconcile customer disputes as they pertain to payment of outstanding balances that are due
- Provide customer service regarding collection issues, process customer refunds, process and review account adjustments, resolve client discrepancies and short payments
- Review complex customer accounts, build historical payment application summaries, and recommend payment application/customer refunds as necessary
- Track customers that require invoices submission via various portals, ensure portal submission is performed timely
- Act as a liaison between Accounts Receivable and Customer Contracts, to streamline resolution of invoicing issues/corrections
- Participate in the integration of new business units, creating necessary processes
- Perform invoicing as needed for new business units
- Accountable for reducing delinquency across all accounts
- Enlist the efforts of sales and management when necessary to accelerate the collection process
- Must communicate and follow up effectively with sales team regarding customer accounts on a timely basis
- Responsible for depositing all checks received in our corporate office
- Responsible for reviewing cash applications
- Responsible for assistance in the US cash reconciliation with the GL team on a monthly basis
- Weekly reporting on collections to Accounts Receivable Manager
- Identifying potential credits and processing credit requests when necessary
- Draft, send and track disruption of service notifications
- Prepare and send other notices to customers as required
- Participate in team planning meetings
- Establish and maintain effective and cooperative working relationships with customers and sales
- Meet defined team goals and activity metrics
- Provide excellent and considerate customer service to customers and sales personnel
- Must be able to work overtime at month end, quarter end, and year end
- Perform other assigned tasks and duties necessary
Key Competencies:
- Strong analytical and problem-solving skills
- Knowledge of Billing and Collections procedures
- Enthusiastic team player willing to assist others when necessary
- Confident in dealing with customers, sales representatives, and senior management.
- Strong work ethic - ability to prioritize work and meet deadlines in a demanding environment
- Commitment to excellent customer service
- Excellent written and verbal communication abilities
- Strong organizational skills with the ability to manage multiple responsibilities
- MS Excel, Word and Outlook
Preferred Qualifications:
- Oracle Cloud experience desired
- SalesForce experience desired
- Apttus CPQ experience desired
- 4-6 years collections experience
Estimated Salary range for this position: $61,000 - $68,000
The base salary range represents the anticipated low and high end of the GHX's salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate's qualifications, skills, competencies, and proficiency for the role. The base salary is one component of GHX's total compensation package for employees.
